Description

The Sr. Grants Accountant will play a critical role in partnering with the VIBS senior leadership team in strategic decision making and operations as VIBS continues to enhance its quality programming and build capacity. The Sr. Grants Accountant will strengthen the internal accounting systems and controls, resulting in benefiting the organization as a whole. The successful candidate will be proactive and will coordinate the following areas:  grants fiscal management, liaison with government contract managers, budgeting, accounting, and financial reporting. The Sr. Grants Accountant will manage VIBS’ cash flow and forecasting. S/he will keep the Executive Director and Director of Finance, IGHL and Affiliates abreast of the organization’s financial status.

 

Responsibilities:

E -           Connotes Essential Functions

E-1          Prepares budgets and associated narratives for multiple VIBS grants (government and private).  Determines availability of funds for non-routine expenses (ex. conferences; equipment; printing).  Assures grantors will cover expenses, especially those requiring pre-approval (ex. new staff, conferences)

E-2          Works closely with Director of Development and Education on preparing grant applications, and with Program Directors on grant reporting. Inputs reports into portals (ex. Grants Gateway) as needed

E-3          Prepares and submits claims for all grants on monthly, quarterly or annual basis per deadlines; and builds a working relationship with external contract managers.  Prepares all budget modifications and personnel change forms, and obtains Executive Director’s approval to process

E-4          Ensures the accurate and consistent recording and reporting of financial and accounting data.  Maintains the books and records on agency transactions and assets

E-5          Prepares reconciliation of general ledger account balances.  Closes the G/L financials on a monthly basis

E-6          Prepares monthly financial reports to distribute to Executive Director, Director of Finance, IGHL and affiliates, and CFO.  Reviews variances and trends and provides analysis to Executive Director

E-7       Reviews all invoices after approved by Executive Director, records and assures payments are made on a timely basis

E-8          Reviews monthly intercompany transactions between VIBS and IGHL

E-9          Participates in yearly audits by preparing schedules and providing supporting documentation

E-10        Acts as agency liaison with Payroll; assures grant allocations are kept up to date

11-          Handles petty cash distribution and reconciliation for VIBS

12-          Reviews for accuracy and approves staff monthly timesheets. Acts as back-up for coordinating timesheet process and Kronos functions (ex. entering new staff on timeclock) for the Executive Assistant

13-          All other duties as assigned

 

Qualifications:

  • Bachelor’s degree in accounting and a minimum of 5 years of accounting experience
  • Experience with not for profit budgets and grant funding preferred
  • Proficient in Microsoft Office (MS Excel, MS Word, PowerPoint) and Fund E-Z accounting software for nonprofits
  • Analytical ability
  • Must have a valid NYS driver’s license
  • Ability to lift 25 pounds
