Our team reaches tens of thousands of people through direct engagements and screenings, moving fluidly from refugee camps and villages to top tier film festivals and high-level talks with global decisionmakers. We touch millions more through television broadcasts, digital distribution and international press coverage. Founded in 2003, Just Vision is nonpartisan and religiously unaffiliated.

The Role

Just Vision seeks a full-time Operations Manager (OM) that will ensure that the organization is running smoothly and that our team is set-up to do its best work. This is a job for someone who is invested in the nuts and bolts required to create a productive and effective environment for a growing team. The ideal candidate takes pride in the role that well-run offices, technology, staff and board meetings, and sound finances and budgeting plays in supporting a mission-driven, high-performance staff.

The Operations Manager is crucial in developing and maintaining the processes that ensure smooth functioning of the organization, as well as the cohesion and culture of our team. They are responsible for: managing human resources and financial operations, supporting on personnel-related matters and team building efforts, and ensuring that our offices are run efficiently. The Operations Manager reports to the Director of Institutional Partnerships, handles confidential material and frequently interacts with staff and consultants across the organization. This position requires strong organizational, planning and communication skills, meticulous attention to detail, and the ability to prioritize effectively. Occasional travel is required for this position.

Primary Responsibilities

Finance Operations:

  • Manage Just Vision’s external finance team on daily, weekly, monthly, quarterly and annual processes. This includes: processing and approving invoices for consultants and vendors; ensuring the timely release of payroll; conducting monthly income and expense reconciliations; preparing monthly financial reports; and performing the annual audit
  • Review and finalize financial reports (prepared by the finance team) as well other relevant materials needed for board meetings, grant reports and other development functions.
  • Support the Executive Director in the annual budgeting process.

HR Operations & Personnel Support:

  • Manage recruitment, hiring, onboarding and offboarding processes including employee orientation, new employee hiring forms and payroll, transitions of staff, email communications and calendaring.
  • Facilitate Just Vision’s 360 process, liaising with our external management coach to schedule meetings, update and distribute surveys, modify guidelines and administer the process annually.
  • Serve as the primary point of contact for general HR inquiries from staff and consultants, escalating when needed.
  • Oversee Just Vision’s internship program, crafting role descriptions, recruiting, screening, hiring and onboarding interns.
  • Create and maintain employee files and overall personnel system/documentation, ensuring the integrity and confidentiality of all data and files.

Office Management & Information Technology:

  • Manage general office communications, including answering telephone calls and managing Just Vision’s general email accounts.
  • Ensure that Just Vision’s memberships, computer, and IT subscriptions are annually reviewed and renewed.
  • Ensure Just Vision maintains compliance with state and federal requirements, including annual charitable registrations, insurance policies and beyond, working closely with our legal counsel annually to review requirements and update policies as needed.
  • Oversee the file management of Just Vision’s cloud-based content management system and ensure team-wide adoption and organization.
  • Facilitate the team’s adherence to security-related best practices including the maintenance and upkeep of our technology, security protocols and equipment.
  • Maintain our offices at Just Vision’s coworking spaces in NY and DC as well as our storage unit, evaluating and renewing leases annually.
  • When relevant copying, scanning, and filing key correspondence and mail.

Team Building and Board Level Support:

  • Plan the logistics and support with the content of board and staff meetings, including retreats, ensuring seamless hybrid and virtual experiences when needed.
  • Draft compelling and concise quarterly Board reports summarizing goals and progress on Just Vision’s operations.
  • Coordinate and communicate relevant operations-related matters across staff, board, and consultants in writing and through various channels (email, messaging apps, phone, etc.).
  • Other duties, as needed.

Required Experience and Skills

  • 4+ years of comparable experience in operations, human resources, and/or finance roles.
  • 2+ years of experience managing a finance team and overseeing daily, weekly, monthly, quarterly, and annual financial processes.
  • Skilled at prioritizing and managing multiple projects at the same time.
  • Detail-oriented and organized with a track record of consistently meeting deadlines.
  • Comfort, experience, and enthusiasm working with finances and budgets.
  • Ability to effectively summarize and explain situations and coordinate multi-pronged, multi-stage processes and work streams.
  • Strong skills and comfort in communicating in writing internally with staff, board members, and consultants and externally with the general public.
  • Excellent interpersonal skills and ability to demonstrate discretion, empathy, cultural competency, and ability to work with diverse partners and stakeholders effectively.
  • Ease working with cloud systems like Box.com, database management software such as Salesforce, as well as Microsoft Office suite applications, and basic tech-related security systems.
  • Demonstrated ability to work across perspectives and competing priorities, working collaboratively and efficiently with colleagues toward shared goals and objectives.
  • A quick learner, who can dive in and swiftly, digest Just Vision’s practices, policies, and procedures, as well as our systems.
  • Independent and disciplined in setting goals and working to achieve them with minimal supervision.
  • Experience working across time zones in a virtual setting.
  • A passion for working on mission-driven social change efforts and/or Israel-Palestine.

This is a full-time, exempt position with a salary range of $62,000 – $72,000, commensurate with experience. Just Vision strives to offer a competitive total compensation package including health, dental, and generous time off. We are ideally looking for someone based in or near Washington, DC, or New York, NY, with the option for remote/hybrid work. Applications will be considered on a rolling basis through July 24, 2023.
