For over 50 years, Film at Lincoln Center has been dedicated to supporting the art and elevating the craft of cinema and enriching film culture. Film at Lincoln Center fulfills its mission through the programming of festivals, series, retrospectives, and new releases; the presentation of podcasts, talks, and special events; and the creation and implementation of artist initiatives. Since its founding in 1969, this nonprofit organization has brought the celebration of American and international film to the world-renowned Lincoln Center arts complex, making the discussion and appreciation of cinema accessible to a broad audience and ensuring that it remains an essential art form for years to come.

Position Overview

The Marketing Project & Administration Associate is an experienced marketing and communications project manager responsible for the day-to-day administration of Film at Lincoln Center projects across marketing, creative, and communications functions within the department. The person in this role will oversee the tracking of project phases, assist in the management of project processes, and ensure deadlines and project contingencies are met.

Reporting to the Assistant Director of Marketing this individual will oversee the administration of projects from start to finish and will provide administrative support to the department head.

This position is represented by union UAW 2110.

Principal Duties

  • Manage and update workback schedules in Asana
  • Coordinate daily and weekly ticketing/attendance data and reporting
  • Coordinate and prepare quarterly KPI report
  • Set up project meetings and coordinate project management with internal and external partners (kick-offs, sharing creative feedback, post-mortems, etc.)
  • Ensure deadlines are met as agreed, and following up as required
  • Run status meetings
  • Management, update, and administration of tools (Slack, Gdrive, project management software etc.)
  • Document and circulate notes/next steps from meetings
  • Administration of departmental invoices/budget tracking
  •  Assist with the preparation of documents and presentations required for internal meetings (creative briefs, campaigns, etc.)
  • Offer administrative assistance to the department head, as needed.
  • Other duties as required

Required Experience and Skills:

  • 2-3 years of marketing project management experience
  • Excellent communication skills, written and verbal
  • Exceptional eye for detail
  • A strong understanding of marketing principles across digital and traditional tactics
  • Experience working with print, digital, video, podcasting, outdoor, and mass media projects would be ideal
  • Experience working in Gsuite, Slack, and experience with project management software would be ideal

Travel
