Description
We are searching for an experienced, top-notch, full-time executive and personal assistant to the executive director of a faith-based organization. In this role, you will not only have the opportunity to serve a high-level leader but also make a difference in the lives of women, children, and families.
The executive assistant will need to stay five steps ahead of the executive director, taking care of all the administrative details, allowing her to utilize her gifts and talents best to further the organization's mission. This position's most important responsibility is ensuring all tasks and duties are completed with a high level of efficiency, confidentiality, and accuracy. You must also be flexible and understand the demanding and fluid nature of the executive director’s schedule and role.
You must be local to the Philadelphia, PA area
While this is not a remote position, there is the opportunity for occasional work from home in this role.
Hours: 40 hours a week
Pay range: $63-68K/year
Contract or W2: Full-Time, exempt position, including benefits
Time Zone: ET
Duties and responsibilities
- Calendar and schedule management
- Travel coordination and expense management
- Meeting preparation including agendas, meeting materials, creating reports, minutes, and catering
- Email management and communication on behalf of the director
- Oversee movement of email from Google to Outlook
- Working with staff, board of directors, and benefactors
- Assisting Executive Director with the engagement, cultivation, and solicitation of current and new donors/benefactors, and in all fundraising efforts
- Managing speaking engagements
- Strategic work including planning and creating presentations
- Manage SOPs
- Purchasing gifts for board members and donors
- Working with outside professional contractors
Qualifications
- Possess 2+ years of C-Suite experience serving high-level executives
- Bachelor’s degree
- Maintain excellent, professional written and oral communication
- Ability to be proactive and anticipate needs
- Independent and self-motivated, able to take action with minimal direction
- Must be highly organized, adaptable, and possess strong attention to detail
- Capable of working in a fast-paced environment
- Proficient with MS Office Suite, Google Suite, and donor management systems
- Experience with project/task management systems and donor database software
