Description

Reporting directly to the CEO of the University of Wyoming Foundation. The Senior Coordinator provides executive support to the CEO and the Senior Vice President of Development. This position serves as the primary point of contact for internal and external constituencies on all matters pertaining to the UW Foundation Board, Senior Vice President of Development, and CEO. The Senior Coordinator also serves as a liaison to the University of Wyoming Foundation Board of Directors and senior management teams, organizes and coordinates executive outreach and external relations efforts, and oversees special projects.

The Senior Coordinator must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven, and community oriented. The ideal individual will have the ability to exercise sound judgment in various situations, with strong written and verbal communication, administrative and organizational skills, and maintaining a realistic balance among multiple priorities.

The Senior Coordinator is a high-level face for the UW Foundation – internally and externally. The Senior Coordinator will actively engage with key UW donors, the Office of the UW President, UWF Board members, UW Vice Presidents, UW Trustees, and State of Wyoming leaders. The individual will be a UW Foundation leader – capable of assisting those key individuals who frequently make contact with the UWF CEO and Senior VP for Development. The Senior Coordinator will well communicate an awareness of UW Foundation programs to ensure proper guidance to all those who reach out to the UW Foundation leadership team.

The Senior Coordinator must be able to work independently on projects, from conception to completion, and must be able to work under pressure to handle a wide variety of activities and confidential matters with discretion.

Knowledge and Abilities

JOB RESPONSIBILITIES:

  • Organize Board meetings, coordinating logistics, collecting and preparing Board materials, and assisting Board members with travel arrangements, lodging, and other items as needed.
  • Create meeting(s) timeline, prepare and distribute meeting notification, correspondence, agenda, and materials.
  • Responsible for the planning and logistics for meetings of the Board and its committees (in-person and virtual conference calls throughout the year).
  • Responsible for recording all meeting minutes, distribute minutes for approval, and posting the minutes for member view.
  • Serve as the liaison to the Board, administrators, staff, and external constituents; handling confidential matters and issues directed to the executive offices.
  • Review items requiring the approval of the CEO or Board; provide project management support.
  • In addition to creating and distributing agendas, monitor the Board schedules and events.
  • Manage and monitor Board policies and procedures.
  • Organize and assist in executing the on-boarding and orientation of all new Board members, providing them with the knowledge and information that is necessary to perform their duties as Board members.
  • Sustain the daily calendar of meetings and events for the Foundation CEO and Senior Vice President of Development.
  • Assist with event planning and attend events as required.
  • Facilitate with in-house hosting.
  • Proactive awareness of Board member terms and committee assignments.
