Description

The Executive Assistant for the Bishop performs the full spectrum of administrative functions for the Bishop of the Diocese of Michigan. With exceptional organizational and communication skills as well as the ability to work toward long-term goals, the Executive Assistant will attend to and triage daily tasks. Pivoting gracefully from one area and concern to another with an abiding sense of humor and equanimity will be essential parts of each work day.  An understanding and appreciation for the Episcopal Church will be an asset. It is essential in this position to gain and retain a broad knowledge of polices, canons and procedures of the Diocese and of the Episcopal Church.  Superb general secretarial skills and demonstrated use of Microsoft Office products are essential. This person is required to carry out the duties of the office with great latitude thereby requiring sound judgment and independent initiative. The Executive Assistant will also support the Canon to the Ordinary with completion of tasks directly related to Office of the Bishop.

The Executive Assistant will:

  • Manage the office with dignity and decorum.  Receive visitors and offer hospitality.  Manage calls for the bishop.  Review and dispatch as necessary the bishop’s mail (including electronic) in a confidential and discreet manner.  Draft correspondence for the bishop. Maintain the bishop’s calendar, including scheduling appointments (in person and virtual) and travel in a manner consistent with his/her desires.
  • Daily coordination and assistance in preparation for meetings and events  for the bishop
  • Handle daily matters related to the bishop’s work such as, but not limited to: preparing and distributing correspondence and/or confidential material as requested; preparing and distributing annual visitation schedules; supervise arrangements (room, food, etc.) for meetings hosted by the bishop; prepare materials for the bishop’s use in meetings, discussions, and appointments.  Handle requests for Confirmation and Reception certificates and file report form from congregations that presented candidates for Confirmation, Reception and Baptism.  Respond to pastoral needs by sending flowers and/or cards to clergy, clergy family members and others at times of illness, births, deaths, etc.  Maintain and distribute clergy prayer request lists and directory.
  • Manage and maintain official records pertaining to the Office of the Bishop, including a record of Official Acts. Notify our appropriate offices as well as Church Pension Fund of any clergy changes in diocese (e.g. death, transfers, and ordinations).
  • Support the work and ministries of diocesan level committees by maintaining rosters and files, making meeting arrangements, distributing materials as requested by the committees or the bishop, and correspondence as requested by the bishop.
  • Maintain records for and assist the Commission on Ministry and persons in the ordination process; organize retreats and events.
  • Assist with the planning and execution of the annual diocesan convention, including production and dissemination of necessary documents.            .
