ROLE SUMMARY

Reporting to the CEO, the Chief Financial and Administrative Officer will oversee all of the financial, administrative and governance matters of PAI. This important financial and administration leadership role will facilitate the cross-organization work of PAI’s Executive Team and support the CEO in the accountable administration of PAI’s Board of Directors.

The CFAO is responsible for all financial and administrative matters of PAI including the finances and accounting, governance support, operational and annual planning, performance indicator setting and measurement, human resources and diversity, equity and inclusion, IT, Salesforce, facilities and legal matters. Managing a current team of 6 people, the Head of Operations and Head of Human Resources report directly to this Executive role.

 

WHAT YOU’LL DO

Finance & Revenue

  • Act as a key partner to the CEO, creating and maintaining financial policies and procedures.
  • Provide financial guidance and counsel on all matters relating to the finance and administrative functions of PAI including operational planning, budgeting and forecasting, performance measurement and analysis.
  • Develop and execute the financial strategy of the organization, including conducting short- and long-term financial modeling.
  • Oversee financial controls and accounting procedures to comply with best practices and legal requirements.
  • Oversee the collection of membership fees from partner organizations
  • Prepare and present monthly and annual financial plans and budgets
  • Advance the CEO’s strategic growth priorities of international reach and diversification of funding sources.
  • Leverage a detailed understanding of ‘what’s driving the numbers’ to act as a key strategic and operational contributor to the overall growth of the organization.

 

General Administration, HR, and Legal Support

  • Support the CEO by managing the administration of the governance of the organization, including the governance calendar, board committee administration and coordination of timely and accurate reporting to the Board.
  • Facilitate the cross-organizational priority-setting and collaboration of the Executive Team to ensure seamless finance, HR, IT, CRM, and legal support to PAI’s programs, research, communications, policy and fundraising teams.
  • Adhere to Management Best Practice standards by providing hands-on leadership, guidance, mentorship and performance management to direct reports - Head of Operations and Head of Human Resources - plus greater Operations team members.
  • Serve as a champion for diversity, equity and inclusion, ensuring that an organization-wide DEI agenda and action plan is in place and implemented.
  • Ensure that the finance, IT, HR, CRM, legal and governance structure of the organization is aligned to function optimally for efficiency.

 

Compliance & Governance

  • Coordinate the organization’s financial and tax reporting activities
  • Manage relationship with the audit firm for annual audit/income tax activities and all related matters.
  • Conduct financial risk assessments and provide mitigation strategies to the CEO and Board.
  • Assess current third party agreements and contracts and assist where necessary to ensure they are appropriate, effective and scalable.
  • Ensure appropriate internal controls are developed and in place for the benefit of all stakeholders and the more efficient operation of the business.
  • Put measurements and reporting dashboards into place enabling real time assessment of performance and forecasting for future opportunities.

 

PREFERRED QUALIFICATIONS

 

  • A graduate degree in a relevant field (e.g. finance, accounting) and/or 15+ years of relevant experience with a minimum of 10 years leading the finance activities of a 30+ person, international, non profit organization.
  • Accreditation and/or certification as a financial and/or accounting professional.
  • A proven track record of significant senior leadership experience managing a portfolio of administrative functions including nonprofit governance, IT, HR, legal, and facilities.
  • Proven experience supporting the administration of an accountable and transparent governance structure and calendar for a non-profit organization.
  • Significant risk management experience including having worked with outside legal counsel and managing an administrative team to implement clear and accountable contracting processes, legal agreements, partnership memoranda and other documentation.
  • Experience working with a Board Audit Committee to support their selection of an independent audit firm.
  • An ability to drill down and understand what drives the business; establish relevant KPIs and metrics that will improve forward looking decision making and predictability for the business.
  • A demonstrable ability to contribute and engage in a strategic and meaningful way by proactively supporting a growing Executive Team and at the Board level.

PAI is headquartered in San Francisco, with a global membership base and scope. This role is eligible for remote work within Canada and the United States with no requirement to be located in San Francisco. We do not offer visa support for this position at this time.
