Description

The National Association of Community Health Centers (NACHC) is the national membership organization for the nation’s federally qualified health centers (also known as FQHCs or Community Health Centers). Health centers are nonprofit, community-directed health clinics that provide access to high-quality, culturally competent, and comprehensive care to people living in medically underserved areas. NACHC strengthens the health center movement through advocacy, training, and technical assistance, clinical and operations support. The Specialist, Conference & Event Operations is a member of NACHC’s Meetings department. The team is responsible for a high volume of programming and contributes to a significant portion of NACHC’s overall revenue. This position is highly visible to our internal and external audiences. The candidate must exhibit excellent customer service to all stakeholders.

The Specialist, Conference & Event Operations position is responsible for contributing to the successful planning, implementation, and growth of NACHC’s in-person and hybrid conference, meetings, and ad-hoc events. This position requires a high level of attention to detail. The ideal candidate is a self-starter with a positive attitude who excels in cross-divisional teams. This position reports to the Associate Vice President, Conferences & Events.

 

Essential Functions and Responsibilities

NACHC Conferences

  • Work with internal teams and external vendors to manage the production of print programs and addendums for NACHC conferences.
  • Assist department staff with planning projects related to NACHC’s major conferences. This will include, but may not be limited to, assisting with exhibit registration, sponsor fulfillment, and other special event logistics.
  • Support the collection of speaker headshots, bios and presentations in coordination with conference team.
  • Support the response to inquiries about NACHC conferences and events.
  • Support in-person and virtual event operations at assigned NACHC conferences and meetings (currently 4 national conferences and 1 invitation-only meeting).
  • Correspond with attendees, presenters, speakers, exhibitors, sponsors, and help ensure excellent customer service to all stakeholders.
  • Support all assigned event deliverables are accurate and meet timelines.
  • Provide input for enhancements and research potential solutions.
  • Perform other duties, tasks, and projects, as assigned.

Continuing Education

  • Manage application submissions for continuing education to appropriate accreditation programs.
  • In coordination with AVP, Conferences, ensure compliance within parameters set by accreditation partners.

 

NACHC Workshops/Ad-Hoc Events

  • Where necessary, maintain workflow of hotel procurement process for assigned NACHC workshop/training programs and ad hoc events.
  • Prepare program specifications, catering menus and av orders for ad-hoc, training or other assigned small meetings in coordination with AVP, Conferences.
  • Track and report spend for events outside of the conference team budget.

Ability/Knowledge/Skills

  • Strong organizational and project management skills, highly motivated, problem solver
  • Ability to work will independently, in a team and in cross-divisional teams
  • Experience coordinating meetings and events of various sizes
  • Ability to prioritize and manage multiple tasks to meet firm deadlines in a fast-paced, ever-changing environment.
  • Advanced proficiency or comfort with learning new office technology, database systems and web content management systems.
  • Ability to travel several times a year to NACHC’s three largest National Conferences and two smaller conferences throughout the year. Additional travel may be requested throughout the year.

Education and Experience

  • Bachelor’s degree
  • A minimum of 2-4 years’ experience in project management, meetings, or events, preferably in a non-profit or association environment
