We have three locations to serve our communities: the historic Erika J. Glazer Family Campus in Wilshire Center/Koreatown, our modern Audrey and Sydney Irmas Campus in West Los Angeles, and our inviting University Campus in Brentwood.

About the Role

Through engagement and consultation with operations coordinators/Directors, executive leadership, and other shared-resource departments (i.e. Accounting, Communications, IT, Security), the School Data Systems Manager (henceforth referred to as School DSM) will lead the streamlining of existing management processes involving student enrollment and health data, as well as be deeply involved in the design and implementation of new data management tools and procedures. In fulfilling these objectives, the School DSM operates as primary administrator of the student information system and student health system used by the Parenting Center, early childhood center, elementary school and Religious schools operating out of the three campuses outlined above.

The School DSM will seek in all endeavors to promote the stewardship of the schools’ information system resources by employing a long-term planning perspective to the evolution of technology solutions currently in use and available in the future.

This is a full-time position reporting to the Information Systems Director, salary range 26.44 – 28.85/hr (55 - 60k annual). This role is also 100% work-from-home/remote through to June 2023.

Responsibilities

  • Conducting requirements gathering and analysis for existing procedure management and new implementation projects
  • Support collaboration and information distribution among the Accounting department, Communications department, and individual school contacts for the release of enrollment agreements and registration forms
  • Assist school operations staff with executing their cyclical data management processes pertaining to enrollment and health data as needed
  • Maintain the annual schedule of department deliverables and processes in respect to all schools
  • Identify opportunities to enrich and audit collected data, and work with other IS team members to ensure audits are executed completely, accurately, and on a schedule.
  • Identify when processes require documentation or training materials and communicate these needs to the Information Systems Director
  • Regularly review documented procedures and training materials for accuracy and relevancy
  • Fulfills project management tasks and documentation needs for initiatives involving student health and enrollment data
  • Establish and maintain review procedure for student data used or distributed interdepartmentally
  • Test and troubleshoot system configurations as needed

  • Non-defensive.  The DSM will be asked how and when they communicate with colleagues, as well as how they go about solving problems in their work.  These questions are asked to get a better understanding of work and communication style, as well as to clearly/thoroughly document operational processes.  The DSM must be comfortable answering questions of this nature from IS team members and be willing to consider alternative approaches proposed by others.

Skill Requirements

  • Proficiency in managing all configuration features of Blackbaud Education Management Solutions platform, Magnus Health, and SchoolAdmin
  • Working knowledge of  Finalsite Composer and Constituent Manager module
  • Familiarity with admissions and operations activities of independent schools covering Pre-K to Grade 6
  • Experience processing and auditing data in Microsoft Excel
  • Working knowledge of FERPA and COPPA guidelines preferred
  • Working knowledge of student data privacy laws active and/or planned in the state of California preferred
  • Experience with software vendor relations and subscriptions contract management preferred
  • Bachelor’s degree or formal education in computer information systems a plus
