We are seeking an experienced, passionate individual to fill our Registrar position!

Position Summary:

The Registrar provides leadership for student records management for the Master, Doctoral, and Certificate programs. The Registrar oversees the registration, graduation, course and classroom scheduling, compliance reporting, and transfer credit functions according to the Seminary’s academic policies and in cooperation with the Academic Affairs department. Current Seminary priorities are excellent customer service to students, efficient and effective management of data and reporting, and simplicity and transparency of operations to facilitate continued moderate growth of the student body.

General Responsibilities:
  • Serving as the authorized official keeper of the Seminary’s student records.
  • In consultation with the Vice President for Academic Affairs and Academic Dean, managing, administering, and developing registration processes and procedures.
  • Communicating trends and changes in student registration with Seminary Business Office.
  • Researching and executing process improvements, recommending useful technological updates and implementations to create a more efficient work environment.
  • Preparing and communicating Registrar Office goals, key performance indicators, and departmental assessments.
  • Overseeing the degree audit process for all students, especially students in their final two semesters.
  • Developing and distributing semester course schedules and classroom assignments.
  • Issuing the Seminary Course Catalog, and reviewing and distributing the Student Handbooks each year.
  • Overseeing grade processing, academic standing processing, timely student notification, transcript processing and requests, enrollment verification, and other services provided through the Office of the Registrar.
  • Overseeing decisions on student appeals related to academic records such as drops, adds, withdrawals, etc.
  • Providing class roster to the faculty upon registration and following up with faculty on grade submission.
  • Ensuring 100% accuracy of transcripts and maintaining the student transcript system, running the necessary computer programs to periodically update it.
  • Monitoring students’ progress in course completion, distribution requirements and graduation requirements.
  • Advising students on courses and on how to meet degree completion requirements and resolving issues related to individual academic records, such as credit attribution.
  • Overseeing the maintenance of student files for all aspects of registration system after a student’s admissions file is completed within the data recording system.
  • Coordinating with the Admissions Director to transfer applicant records over as student records, utilizing date recording system.
  • Ensuring Seminary compliance with Federal and State educational laws, guidelines and reporting requirements.
  • Overseeing and facilitating the completion of periodic reports for Federal and State agencies, the Association of Theological Schools, the Higher Education Services Corporation, New York Department of Health, and various church denominations, working in conjunction with other NYTS staff persons.
  • Maintaining all statistical information on student registration and completing statistics reports.
  • Supervising the Assistant Registrar and monitoring her/him as needed.
  • All other related duties as assigned.
Graduation Responsibilities:
  • Supervising the evaluation and certification of graduation and strongly assisting with the graduation process including participation in the ceremony coordination.
  • Coordinating the academic-related pieces of commencement involving developing the ceremony program, ordering diplomas and regalia, verifying student information for ceremony program, and distributing invitations.
  • Managing final degree clearance protocol to ensure graduates have fulfilled all academic and financial requirements.
  • All other related duties as assigned.
SEVIS Responsibilities:
  • Serving as the Seminary’s primary designated school official (PDSO) with the Student and Exchange Visitor Information System (SEVIS), the US government’s web-based system for administering student visas.
  • Overseeing the processing of all international student visa applications, maintaining accurate student visa records, following US Government regulations and advising international students regarding within the F visa category.
  • Advising and providing necessary documents to foreign students and contacting INS officer for legal/illegal matters.
  • Ensuring the renewal of the SEVIS recertification (Form I-17 process) of the authorization to host F-1 visa every two years.
  • All other related duties as assigned.

Requirements

  • Bachelor’s Degree in education, communication, ministry, or other related fields. Master’s degree preferred.
  • 7+ years of relevant work experience including related supervisory experience.
  • Excellent ability to interact with a diverse student and faculty body with a high degree of cultural competency and collegiality.
  • Must be computer literate. Knowledge of IBM EDC Universe and Blackbaud a plus. Knowledge of Window 10 Pro, Microsoft Word, Microsoft Excel, and Word Perfect are necessary.
  • Ability to translate documents, read and write in Korean and/or Spanish a plus.
  • Excellent bookkeeping, office management and leadership skills.
  • Ability to understand, counsel and communicate with students, faculty, staff and outside persons effectively.
  • Must be organized and detail oriented, able to handle complex, fast-paced work environment, and accomplish task objectives within established time frames.
