Description

The Office Manager is a position in the administrative office of Newton Cemetery & Arboretum, a beautiful, historic garden cemetery established in 1855. This position reports to the Director of Cemetery Services.

The Office Manager is responsible for all administrative functions, ensuring that the Newton Cemetery office operates efficiently and smoothly This position directly supervises the front office personnel to maintain a high level of customer service and appropriate coverage during business hours. The Office Manager also acts as a point of contact for clients, visitors, and staff, providing courteous and helpful customer service as necessary to all. The ideal candidate supports company operations - maintaining and creating procedures, communication, and organizational efficiency and coordinates communication between the office staff and all departments.

Duties include the management of all documentation and supplies for Cemetery business as well as oversight of the cremation, interment and memorial process, billing, accounts receivable, accounts payable, client records, mailings, preparation of Board meeting materials, and other administrative tasks appropriate to running a busy, active office.

Additional responsibilities may include back-up to the finance, human resources, and sales teams, the management of special projects, including the organization and digitization of Cemetery records and archives, inspection of the Cemetery database system to make required corrections or updates, and interfacing with the Friends of Newton Cemetery to support events and activities. Other related duties as necessary and assigned.

Education and Experience:

Bachelor's degree from a four-year college or university and a minimum of five years experience in customer service and office management.

Ability to interact with clients with compassion and patience. Superior communication skills, verbal and written, to successfully communicate with customers in a low-pressure sales capacity. Fluency in English is required.

Attention to detail, accuracy and strong organizational skills required.

Proficient computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc. Microsoft Office and database management experience required.

Flexibility, dependability, and good business ethics are essential in this role, along with the ability to remain composed and professional at all times.
