Description

Under the direction of the Membership Manager, the Membership Assistant is responsible for daily operational aspects of the membership program, including data and reports.  The Membership Assistant’s time and energy is primarily focused in the areas of Member services (e.g., calls, emails, correspondence, issues) and Membership processing (e.g., opening mail, coding transactions, posting entries).  The Membership Assistant is a supportive position to the Membership Coordinator and Membership Manager.  Team cohesion and communication is vital.

Essential Functions

  • Highly active in all aspects of Member and Donor Service:
    • -Incoming and outgoing phone calls from/to members and donors.
    • -Incoming and outgoing emails from/to members and donors.
    • -Receiving, researching, and resolving membership and donor issues.
    • -Update and document all member correspondence and changes in CRM.
    • -Educating members and donors on all aspects of membership and program support.
  • Assists in training and onboarding of staff, as needed
  • Highly active in all aspects of Member Processing:
    • -Processes acquisition, renewal, and gift transactions.
    • -Opens and codes (interprets) membership applications, renewal and acquisition forms and donations.
    • -Posts membership and donor contributions and prepares daily deposits.
    • -Executes offline credit card contributions via mail and over the phone.
    • -Processes refunds, transfers, mergers, possible duplicates, bill-pays and voids for membership and donor contributions.
  • Assists with coordinating the membership calendar.
  • Assists in membership and awards fulfillment process for Lifetime Honorary Member enrollment, business member recognition gifts, Distinguished Service Awards, and fulfillment inventories.
  • Manages business member recognition gift process and inventory.
  • Assists Membership Coordinator with department inventories.
  • Utilizes ProTech dashboards for tracking, measurables, and corrections to membership or donor accounts and transactions.
  • Participate in the creation and implementation of process improvements.
  • Performs general administrative tasks such as address changes, special mailings, and mail runs and sorting.
  • Assists in the development and execution and marketing of other member types (family, junior deputy).
  • Provides backup front desk and phone coverage.
  • Performs other duties as assigned.

Education, Professional Certification, or License

  • Bachelor’s Degree from an accredited college or university in business administration or a related field preferred.
  • Bookkeeping/accounting certification.
  • Valid Florida driver’s license.

Professional Experience

  • Minimum of three years of business administration experience preferred along with membership or customer service-related knowledge.
  • Experience using member/customer relationship management systems.

Skills and Qualifications

  • Familiarity with member/donor relationship management systems, including Microsoft 365 products and SAP Crystal Reports.
  • Familiarity with member/donor programs, products, policies, and procedures.
  • Familiarity organizational systems.
  • Familiarity with data entry and computer proficiency.
  • Demonstrate a level of attention to detail and pursue remediation.
  • Ability to coordinate and manage projects.
  • Ability to organize, prioritize, and manage several tasks.
  • Ability to project a high level of interpersonal skill and customer service care.
  • Ability to conduct research.
  • Ability to communicate across different media – print, email, phone, etc.
  • Ability to work collaboratively.
  • Ability to lift at least 35 lbs.

Position Remuneration:

  • Salary range starting at $41,500.
  • Health, Vision, and Dental insurance coverage at $0 employee cost.
