Job title: Fundraising/Admin Assistant
FT/PT
This is a part-time position up to 20 hours per week (normally 9 a.m.-1 p.m. Monday to Friday/with some
flexibility)
Location: *Hybrid/ office based twice a month;1740 Broadway, New York, NY 10019
This position is predominantly remote, but some in-person office time (as well as attendance at events) is
required; therefore, candidates should live within reasonable driving distance of New York City.
Salary: 25$-30$ / hour

Job Summary
The Fundraising/Admin Assistant will accurately maintain records and information in the fundraising
database (DonorPerfect) and provide support for information management and gift processing. Primary
responsibilities include ensuring overall data integrity and best practices within the database; accurately
and efficiently entering and maintaining donor and gift records in the database; generating queries and
reports as needed; ensuring the timely production of acknowledgement letters, receipts, and pledge
reminders; and maintaining donor records and files (digital and hard copy). The Fundraising Assistant
publicizes the charity’s work social media and the website, responds to requests for information, including
but not limited to queries, mailing lists, financial and fundraising reports, research, and prospecting reports.
Additional responsibilities include, supporting events, drafting, and sending out newsletters, updating our
eBay store and basic bookkeeping.

Accountable to: Chair of Trustees USA
Essential Job Functions:
• Ensure data integrity within the fundraising database (DonorPerfect) by coordinating the creation
and execution of best practices for database management: database upgrades and maintenance;
training procedures; gift, solicitation, and constituent codes; gift entry procedures; queries and
reports procedures; donor recognition; research and donor profile updates; etc.
• Oversee and conduct data entry and gift processing; ensure accuracy, data integrity, and maintain
confidentiality
• Produce and ensure timely acknowledgement letters, receipts, and pledge reminders
• Research and respond to donor inquiries on records and gifts

• Coordinate and produce annual and project donor recognition reports for the annual report, website,
special events, and projects
• Draft, edit and compile a wide variety of internal and external communications; Publicize the
charity’s work through all channels possible, including digital, social media, website, newsletters,
and email updates
• Actively get involved in and provide efficient support for the annual Fundraising Strategy; assist with
event planning and implementation
• Communicate with potential and current donors in person, on the phone, and by email
• Actively and meaningfully engage and solicit donors through meetings, phone calls, and other
activities
• Research potential areas of support for the charity, including diaspora and fundraising events
including sporting events such as marathons, foundations, eBay sales etc.
• Plan, together with the team, facilitate, and attend fundraising or other events on behalf of the
charity when requested.
• Assist management in day-to-day operations; schedule and coordinate meetings and appointments;
provide support in preparing documents for meetings and follow-up materials
• Ensure that income and expenditure is properly accounted for, and the information is passed in
good order to the person completing the end of year tax return; Make payments as directed
• Other duties as agreed with your manager
Qualifications:
Essential:
• Experience as a Fundraising/Admin Assistant or working within a charity organization
• Passionate about helping others
• Knowledge of non-profits, research methods, data standards, and database
• Excellent written and verbal communication skills
• Excellent organizational skills and attention to detail
• Experience in social media management
• Efficiency in performing administrative support functions
• Proactive and ability to work independently in a non-traditional, flexible setting
• Proficient with Microsoft Word, Outlook, Excel, Zoom and other online video call platforms
• Strong analytical, problem-solving, and research skills
Desirable:
• Knowledge and/or interest in palliative care and Southeast Europe
• Knowledge of QuickBooks or similar
• Knowledge of any foreign language used in any of the 6 countries in which we are currently working
