WARMLINE FAMILY RESOURCE CENTER

 

Position Title: Executive Director

ACCOUNTABLE TO: WARMLINE BOARD OF DIRECTORS

The Executive Director is the Chief Executive Officer of WarmLine Family Resource Center.

The ED reports to the WarmLine Board of Directors and, with the direction and guidance of the Board of Directors, is responsible for the administrative, managerial, organizational and supervisory activities necessary to uphold the Mission and Vision Statements.

 

WARMLINE FAMILY RESOURCE CENTER OVERVIEW:

WarmLine Family Resource Center has provided information, training and parent-to-parent support to families of children with disabilities for over 30 years. The majority of funding is through federal, state and local government grants. This is a small organization with 7-12 office staff, and community parents, most who share the experience of raising a child with a disability.

 

MISSION STATEMENT:

WarmLine Family Resource Center provides information, education and support to promote and strengthen the foundation of families and children with disabilities or who are at risk for having disabilities or special needs. The Center also collaborates with and supports the community of professionals that work with and serve families with disabilities and special needs.

 

VISION STATEMENT:

Our vision is to cultivate and grow a culture where all children have dreams for the future.

 

DUTIES AND RESPONSIBILITIES

IN PLANNING & POLICY:

  • Assure that the strategic plan, both long-range and short-range, developed with the BOD, achieves consistent and timely progress towards the Mission and Vision.
  • Provide leadership to develop programs, organization and financial plans, with the BOD, and with staff input, to carry out plans and policies authorized by the Board.
  • Monitor the quality and effectiveness of programs, grants and deliverables, providing BOD with data and information needed to evaluate program effectiveness, grants, impact and outcomes.
  • Negotiate contracts and other business matters approved by the BOD, including research and preparation of grant applications and reapplications.
  • Submit required reports in a timely manner.

 

IN BUDGET & FINANCES:

  • Prepare and propose an annual budget to BOD, responsible for maintaining sound non-profit financial practices, to ensure fiscally sound, sustainable organizational growth for the present and future.
  • Ensure the organization works within budget and grant guidelines, working with the BOD to ensure that adequate funds are available to permit WarmLine to carry out its work.
  • Maintain official records and documents; ensure compliance with federal, state and local regulators.
  • Maintain communication and financial reporting to the BOD at regularly scheduled board meetings, and whenever requested by BOD President, or Treasurer.
  • Read, analyze and interpret governmental regulations and technical procedures, and develop into programs, activities, data collection systems, policy and reports to carry out the Mission of WarmLine.
  • Participate in Annual  Financial Audit.

 

IN STAFF OVERSIGHT, COMPENSATION & EVALUATION:

  • Responsible for the recruitment, hiring, development, employment, salaries, evaluation and termination of all employees.
  • Ensure that job descriptions are developed, regular performance evaluations are held, and that sound human resource practices are utilized.
  • Lead, coach and develop a management team, with appropriate provision for succession in place.
  • Maintain appropriate management and personnel records.
  • Encourage staff, community parents and volunteer development and education, and assist staff in relating the work their specialized work to the total program of WarmLine.
  • Foster a climate which attracts, keeps and motivates a diverse staff of quality people, and encourages a culture of inclusion, collaboration, transparency, diversity, respect and communication within the organization and with partner agencies and community partners.
  • Model appropriate cultural competence and equitable outcomes in organization decisions.

 

IN PUBLIC RELATIONS & COMMUNICATIONS:

  • Develop, with the BOD and staff, a clear message that communicates WarmLine’s Mission and Vision effectively, publicizing activities and programs, coordinating public relations, communications, social media and advocacy efforts.
  • Maintain a working knowledge of significant development and trends in the field and serve as the public face and official spokesperson for the organization.
  • Establish and maintain positive and collaborative relationships with local, state, governmental, non-governmental agencies, to improve outcomes for children with disabilities.
  • Create sound working relationships and cooperative arrangements through serving on committees, attending meetings, making presentations, to community groups and organizations.
  • Establish and maintain positive and collaborative relationships with local, state, governmental, and non-governmental agencies advocating to improve outcomes for children with disabilities.
  • Conduct official correspondence of WarmLine, jointly with the officers of the BOD, as well as execute legal documents with officers of the BOD.

 

IN BOARD RELATIONS (Beyond Duties Listed Previously):

  • Ensure that board members have necessary information and meeting materials for BOD or committee meetings.
  • Along with president of the Board, develops Board agenda.
  • Attend BOD meetings, except specific executive sessions.
  • Sits on appropriate committee meetings a non-voting member.
  • Develops and maintains strong working relations with board members.
  • Identify skills, expertise, and attributes that are needed for board diversity and strength.
  • Along with BOD, identifies potential new board members and participates in orientation of new board members.
  • Assist in Board assessment process.
  • Evaluate assessment results and identify board development opportunities in collaboration with  BOD and/or Governance committee

 

QUALIFICATIONS

Bachelor’s degree with a minimum of 3-5 years’ experience to include the following: Management, personnel, program development, non-profit finance, grant writing.

Parents OR siblings of people with disabilities and/or individuals with disabilities are encouraged to apply.

  • Demonstrated capacity for organization and coordination.
  • Exhibit knowledge and experience with managing non-profit budgets, grant writing and reporting.
  • Knowledge of leadership and management principles related to nonprofits and human service organizations.
  • Demonstrates ability to work well with professionals, agencies, consumers and parents.
  • Dynamic and charismatic team player who enjoys being the public face of an influential organization.
  • Ability to supervise a diverse staff and maintain a positive, supportive work atmosphere.
  • Adequate physical stamina to withstand pressure of responsibilities.
  • Job requires a flexible schedule encompassing evenings, weekends and travel.
  • Dynamic leadership both remotely and in person.

 

COMMUNICATION SKILLS:

  • Ability to effectively present verbal and/or written information to Board members, staff, consumers/families and general public on agency goals and philosophy.
  • Ability to provide motivation and training to staff and volunteers.
  • Ability to read, analyze and interpret governmental regulations and technical procedures.
  • Ability to write reports, grants, PR, business reports and procedures, policies & procedure manuals.

 

REASONING ABILITY:

  • Ability to solve practical problems and deal with an assortment of variables in situations where only limited standardization exists.

 

ORGANIZATIONAL ABILITY:

  • Ability to prioritize and organize work and respond appropriately too emergencies. This includes being able to complete work within deadlines, and work with frequent interruptions.
  • Ability to work independently.

 

STRESS LEVEL:

  • Ability to tolerate a moderate to high stress level.

  • The physical demands described here are representative of those that must be met by employees to successfully perform the essential functions of the job. Reasonable accommodation may be made. Employees in this position are required to travel by car and or airplane on business related matters. The work may require long periods of sitting at a desk while using office equipment.
