Executive Assistant to CEO & Founder:  New Ballet Ensemble and School (NBE) is a Creative Youth Development Program focused on setting high expectations for young people, encouraging positive risk-taking, promoting leadership development, and offering real world opportunities to contribute to social change.

The organization’s mission is to bring together children from all backgrounds by providing a professional standard of training,regardless of the ability to pay. Using conservatory training as a model, NBE instills knowledge of West African dance, Hip Hop, and Flamenco alongside Ballet training so young people have access to the disciplines present in BFA programs today.

Educational outreach is a major component of New Ballet’s mission fulfillment to create access to dance to those who otherwise would have none. The Pathways Program is NBE’s largest outreach initiative involving MSCS as partners. Additionally, we operate satellite programs and perform school shows and conduct in-school workshops as a part of our extended outreach in Memphis and the surrounding area. Pre-COVID, NBE would reach approximately 200 students all over the city at least once a week through weekly dance classes and several thousand students with our school shows, annually. Students engaged in community programming are invited to participate in the programming of our main facility if they want to dive deeper into dance. Access is facilitated through active recruitment and scholarship support offered on an annual basis.

NBE was awarded the 2014 National Arts and Humanities Youth Program Award from the President’s Committee on the Arts and the Humanities, First Lady Michelle Obama (Chair), recognizing the program for using engagement in the arts and the humanities to increase academic achievement, graduation rates, and college enrollment. The award also recognizes NBE for improving literacy and language abilities, communication and performance skills, and cultural awareness. NBE has been featured in the NY Times, prominent dance publications and has performed at the John F. Kennedy Center for Performing Arts. NBE is the home of dance sensation, Lil Buck.

How To Apply

EXECUTIVE ASSISTANT RESPONSIBILITIES:

  • Responsible for the administrative support for the daily activities in support of the CEO and Founder.
  • Excellent opportunity for an energetic, self-directed, executive assistant who makes great impressions on the telephone and in person.
  • Provides detailed calendar management, keeping all calendar meetings to ensure CEO is kept on schedule.
  • Travel coordination [flights, hotel, transportation] for staff and visiting artists, expense report management, mail processing and invitation coordination.
  • Coordinates Board of Director’s meetings, including committees, attendee management, materials preparation, Dropbox accounts and location set-up.
  • Act as liaison between Board of Directors and CEO, accurately recording and filing all meeting minutes.
  • Proficient in use of software and technology, including Google Suite, MS Word, Excel and PowerPoint. Produce various reports using those applications.
  • Review CEO’s email; sort, prioritize and reply when necessary.
  • Handle all in-bound calls for the CEO to determine the appropriate course of action.
  • Communicate and coordinate with CEO to resolve any organizational issues that arise.
  • Produce, and keep updated, all company internal forms used by CEO and Board of Directors.
  • Ensure conference room remains organized, clean and stocked.
  • Record and file all legal contracts for the organization.
  • Maintains hard copy and .PDF filing systems of documents, updating donor and policy files, along with the creation and coordination of project folders.
  • Organize on and off-site functions for either employee and/or donor events.
  • Assist with special projects and other general office tasks as needed or assigned.
  • Work closely with other members of the team while exhibiting leadership qualities.
  • Serve as back-up for front receptionist, as needed.

SKILL & KNOWLEDGE:

  • Excellent communicator, including writing, speaking, editing, proofreading and computer skills, with great attention to detail.
  • Proficient in use of software and technology, including Google Suite, MS Word, Excel and PowerPoint.
  • Exhibit a high degree of professionalism, business judgment, tact and diplomacy.
  • Strong calendaring, organizational and document management skills.
  • Ability to self-start, work independently and achieve high standards to meet multiple deadlines.
  • Conduct all functions, duties and responsibilities in a professional manner with a positive attitude and demeanor.
  • Work effectively with staff in a team-oriented environment to accomplish the organization’s goals.
  • Adept in developing and maintaining strong relationships with management, staff, donors, trustees and other stakeholders.
  • Must have strong, independent problem-solving skills.

QUALIFICATIONS:

  • College degree strongly preferred or 4 years of equivalent professional experience.
  • Must have at least three to five years of experience working in an Executive Administrative role.
  • Proficient in Microsoft Office Suite (Word, Excel and PowerPoint); Gmail, MAC Operating Systems; DropBox Accounts, Internet Research.
  • Non-profit or customer-oriented background preferred.
