BRIDGING EDUCATION & ART TOGETHER (BEAT)
Incorporated in 2010, Bridging Education & Art Together (BEAT) is a NYC nonprofit organization and a registered NYC Department of Education Vendor that provides unique Hip Hop-based arts education to disadvantaged students in underserved schools, community centers, and public institutions throughout NYC. POSITION OVERVIEW
The Executive Assistant’s role is to enhance the effectiveness of the organization. The EA will be the primary support and liaison for the Executive Director. This will include reading, researching, and routing correspondence; drafting letters and documents; creating presentations and proposals; collecting and analyzing information, and initiating telecommunications representing BEAT and the Executive Director. 

The EA will work closely with a small team of 3-4 staff. With the launch of many new BEAT Initiatives in 2020, the ideal candidate with be incredibly skilled at organizing many moving parts/projects while maintaining all responsibilities of their positions. 

The EA role and responsibilities may evolve to fit the needs of the organization as we continue to expand. The ideal candidate will be flexible and capable of growing as we do. 

RESPONSIBILITIES:

  • Coordinate Executive Director’s communications, including scheduling calls, responding to emails on his behalf and managing communication with all partners.
  • Take initiative in cultivating and sustaining partnerships that are aligned with the organization’s new and ongoing projects.
  • Work with the BEAT Administrative Staff to create structures and foundations for new projects and programs.  
  • A self-motivated learner with the capability to gather information from a variety of sources.
  • Attend meetings with ED or on his behalf, take impeccable notes, keep track of all follow-up and next steps necessary.
  • Manage BEAT’s organizational email. 
  • Uphold a strict level of confidentiality.
  • Organize ED’s daily calendar.
  • Support in research, copywriting and collecting data for presentations.
  • Schedule meetings and appointments and manage travel itineraries for ED.
  • Support in event planning.
  • Maintain supplies inventory for office.
  • Assist in keeping the office is clean and organized.
  • If experienced, create flyers, graphics, and assist in visual designs for the organization’s communication strategies and outreach.

Requirements

QUALIFICATIONS:

  • Bachelor's Degree
  • Minimum of 3 years experience as an administrative support t to senior management
  • Graphic Design experience strongly preferred but not required
  • Knowledgeable in Adobe InDesign, Adobe Illustrator, and/or Adobe Photoshop a plus.
  • Knowledge of office management systems and procedures.
  • Excellent time management skills with the ability to multitask and prioritize their own work.
  • Attention to detail and problem-solving skills.
  • Strong organizational and planning skills.
  • Be able to independently conduct research and write a detailed plan of action.
  • Highly proficient in Google Applications and Microsoft Office Suite
  • Superb interpersonal, relationship building and communication skills.
  • Passion for arts education, using your talents to make a difference in the lives of others, and a strong connection to the community.
  • Prior experience with community-based organizations.
  • Interest in or involvement with Hip Hop art/culture preferred but not required. 

 

COMPENSATION: 

  • Salary commensurate with experience.
