Description

The Population Health Learning Center (“Learning Center”) is a new nonprofit organization. It aims to become a catalyst for aligned statewide population health transformation in Medi-Cal (California’s Medicaid program) and adjacent safety net programs. This includes aligning key funders and initiatives around a consistent approach for building capacity for population health management in the Medi-Cal delivery system, to enable health equity at scale in California.

For the next 5 years, the Learning Center will serve as the Program Office for a statewide Medi-Cal focused practice initiative. The Learning Center’s broader goal is to build a just and equitable healthcare system for all Californians, especially the people and communities who have been historically underserved. A key part of our 2024 work will be to develop our strategy for doing so, building on our foundational partnership with DHCS.

The Learning Center is a fiscally sponsored project of the Tides Center, a 501(c)(3) public charity organization that fiscally sponsors over 160 projects. This work aligns with Tides’ vision, in that health equity is central to enabling all populations to thrive and to share prosperity.

THE POSITION

The Executive Assistant will serve a critical role for the Learning Center. This is a multifaceted role that will include a variety of administrative, operational, organizational, and communications tasks in support of the Leadership team. This role will require a detail-oriented professional who can operate effectively in a fast-paced environment.

Responsibilities include:

  • Manage Chief Executive’s calendar and serve as the administrative lead for the organization. This includes interfacing with key leaders and stakeholders externally such as the PHLC Advisory Board members, the California Department of Health Care Services leadership, Managed Care Plan leadership and Technical Assistance Partners and other key stakeholders on behalf of Chief Executive and PHLC organization.
  • Support Leadership Team with scheduling, as well as scheduling and coordination of team meetings, and meetings with external partners and stakeholders and distributing related agendas and supporting materials in advance.
  • Make and manage travel arrangements and coordinate special projects as assigned.
  • Develop and manage list serves and contact database for PHLC across partners, stakeholders, primary care practices, and key funders.
  • Support Chief Executive with all Advisory Board related planning, logistics and execution. Includes communications with the Advisory Board on scheduling, agendas, background materials, and identifying space, meals, transportation, and reimbursement as needed for board events.
  • Support planning, logistics and execution of all PHLC sponsored events.
  • Support the ‘virtual office’ of PHLC – including purchasing and ensuring appropriate maintenance of laptops and other equipment, maintaining Office 365 suite, and organizing and maintaining files in the office shared drive. Troubleshoot issues with Office 365, Microsoft Teams, and Zoom, with support from contracted IT service when needed. Maintenance of branded slide and document templates, and other PHLC material as needed.
  • Format and proof power point presentation and documents as requested.
  • Make purchases using company credit card for PHLC with direction from Operations Manager/Chief Operating Operations/Chief Executive.
  • Preparing and submitting invoices for PHLC expenses.
  • Collaborate with the Operations Manager to ensure that organizational systems and processes are adequately resourced and supported.

Preferred Skills and Qualifications Including:

  • Bachelor’s degree or equivalent years of work experience.
  • Highly resourceful team player, with the ability to work with minimal supervision.
  • Excellent verbal and written communication.
  • Excellent time management and organizational skills.
  • Exceptional problem-solving skills.
  • Intellectual curiosity, growth mindset, and tenacity to get the job done.
  • Strong technology aptitude and a quick learner of new systems; proficiency in both Microsoft Office and iOS preferred.

Applications will be evaluated on a rolling basis. California residents are strongly preferred, but non-California residents will be considered.

COMPENSATION & BENEFITS

The salary range for this position is $90,000 - $120,000.
