What We Do:

Mission: Hope is a Christian faith-based organization that helps families in remote villages overcome poverty, hunger, exploitation, and spiritual brokenness. We equip local leaders to address the critical needs of their villages through evidence-based programs and training. Our work focuses on four key areas – Food Security, Child Protection and Survival, Financial Stability and Hope. These four areas have proven to create long-term transformation for an entire village.

Who We Need:

We are searching for an Executive Administrative Assistant to join our team. This is a remote position.  As an Executive Administrative Assistant you will work to support our leadership team in areas such as calendar management, travel, and meeting coordination along with general office and operation management.

What You’ll Do:

Basic Personal Responsibilities:

  • To represent Mission: Hope in both work life and private life, being sensitive to how others see you biblically, spiritually, and ethically.

  • To work cooperatively with multiple staff members to achieve the common goals of the organization, being willing to assume additional assignments when necessary.

Administrative:

  • Keep organized, accurate files and records in digital and hard copy form.
  • Create reports and presentations using Microsoft applications such as Word, Excel, and PowerPoint.
  • Research and gather information and data on a broad spectrum of topics.
  • Maintain strict confidentiality of information and materials.
  • Order and pick up supplies, pick up and distribute mail, etc.
  • Manage and complete a wide range of assignments.

Meetings:

  • Responsible for calendars of and scheduling of appointments for 2 people.
  • Plan, schedule, and organize meetings including preparing meeting materials, logistical coordination, food and technical coordination, room set up, and room clean up.
  • Create reports, meeting notes, memos, letters, charts, tables, and/or presentations in support of or on behalf of the leadership team.
  • Maintain team, donor, board and stakeholder contacts, records, and other documentation to include access to confidential information.
  • Ensuring that mail is picked up each week from post office; information is processed; and checks are deposited.
  • Complete other projects and special assignments by establishing objectives, determining priorities, managing timeline, and gaining the cooperation of others.

Departmental Assistance:

  • Coordinate and manage weekly project updates to Asana (or current project management tool) with project managers and provide project updates to stakeholders.
  • Prepare and process expense reports, invoices, and purchase orders.
  • Reconcile and process actual monthly expenses to ensure timely and accurate reimbursement.
  • Update and provide reports from the CRM.
  • Reconcile and process donor checks to support timely monthly financial reporting.
  • Schedule and manage travel arrangements (domestic and international as needed) to include air, hotel, ground transportation, and country-required documentation (e.g., visas, passports).
  • Manage group travel for key events.

What You Bring:

  • 3+ years of administrative experience, preferably in a non-profit environment.
  • Strong proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel), Adobe, and other applications.
  • A knack for technology – quickly learning and becoming the team expert in areas such as videoconferencing, remote meeting technology, SharePoint, etc.
  • Experience with international travel and associated protocols (COVID requirements, visa requirements, customs restrictions, etc.).
  • Demonstrated ability to prioritize work and help manage leaders time effectively.
  • Ability to manage confidential and sensitive information, consistent with professional standards and organizational policies.
  • Have a solid history of excellent attention to detail, judgment, follow through, initiative and dependability.
  • Flexible in a multi-tasked, growing organization, with sometimes short deadlines.
  • Exceptional organizational skills with the ability to be proactive and prioritize a variety of projects and tasks effectively.
  • Ability to effectively work on a daily basis in your remote office. Prefer someone located in north Atlanta (but not required) to allow for face to face meetings, mail pickup and delivery, meeting space setup, etc.
  • Ability to carry, reach, bend, and frequently twist to move inventory and supplies; must be able to lift between 5lbs and 25Ibs without assistance.
