Executive Assistant

The Electronic Privacy Information Center (EPIC) is looking for a skilled Executive Assistant with a passion for privacy and civil liberties to support the President and serve as a liaison to the Board of Directors and to EPIC’s Members and supporters.

The Executive Assistant will manage the office of the President and provide administrative support to coordinate internal and external meetings and events, guide follow-up correspondence and task execution, and manage the President’s calendar. The Executive Assistant will also manage intake, tracking, and correspondence related to donations, grants, and other fundraising activity. The Executive Assistant may also be called upon to lead special projects, material creation, and other duties depending on skills and interest.

The Executive Assistant will also manage correspondence with the Board of Directors, Members of EPIC’s Advisory Board, and EPIC’s supporters. The Executive Assistant will be the primary point-of-contact for EPIC’s leadership team and will communicate organizational updates and facilitate input from the Board on a regular and as-needed basis. The individual will act as primary staff support for Board of Directors and Committee meetings and will be responsible for compiling reports, preparing agendas, planning logistics, distributing materials, meals and other necessary support for these meetings.

This position requires close attention to detail and excellent communication skills.

Roles and responsibilities:

President Support

  • Coordinate internal and external meetings for the President, including scheduling, logistics, and note-taking.
  • Assist with management and organization of files and workflows within the President’s office.
  • Contributing to event planning, coordination, and execution.
  • Support staff and management team with the use of platforms and tools, including Asana, Microsoft365, Zoom, and calendars.
  • Scheduling and management of items on the President’s calendar and tasks through Asana.
  • Assist with intake, tracking, and drafting responses and outreach for donor and foundation contacts. This includes management of our donor database.
  • Other ongoing duties, as assigned.

Board of Directors and Member Liaison

  • Build out and facilitate the Board engagement program in coordination with the senior leadership team. This includes setting the biannual Board meeting schedules, facilitating regular Board member outreach, assessing the need for any technology or services for the Board and onboarding / offboarding Board members.
  • Plan and execute Board meeting and events logistics (e.g. developing meeting agendas, directing logistics and travel, booking venues, etc.)
  • Prepare and distribute materials for Board and Committee meetings (e.g. strategic plans, financial reports, program processes) and manage related files.
  • Track and resolve action items and follow-ups resulting from Board meetings and decisions.
  • Plan and execute annual Member meeting and events logistics in coordination with the senior leadership team.
  • Prepare and distribute materials for annual Member meeting and facilitate follow-ups and other post-meeting project planning.
  • Other ongoing duties, as assigned.

Qualifications (required):

  • Associate’s or Bachelor’s degree
  • Ability to work independently and collaboratively.
  • Ability to handle sensitive information appropriately and confidentially.
  • Strong written and verbal communications skills.
  • Superior attention to detail and organizational skills.
  • Upward management and initiative to move tasks forward.
  • Familiarity with task management and business productivity platforms.

Other Relevant Skills (preferred):

  • Experience as an Executive Assistant, Administrative Assistant, Project Coordinator, or similar role.
  • Proficiency with Asana, Zoom, and Microsoft Office Suite.
  • Experience working with development and executive management teams.

This position is based in the Washington, DC and only individuals who have the right to work in the US should apply. EPIC’s office operates according to public health guidance and most staff are currently working remotely in 2021.
