The beautiful, historic campus is located in a quiet setting in central Seattle’s Madrona neighborhood.

 

Job Summary:

Epiphany School seeks a seasoned Events & Community Engagement Manager who will lead planning, organization, and execution for all school-wide events such as student performances, academic nights, and community engagement events, and will co-lead planning, organization, and execution for all-staff, admissions, and fundraising events. Serving as a strong Epiphany School ambassador, this role will engage with and build strong connections with families and serve as the primary liaison with the Epiphany Parent Council. They will manage and train volunteers for events and other school volunteer needs. This role works to create strong community engagement across multiple platforms and among diverse constituents, ensuring each live and virtual event is appropriately produced, promoted, and executed. This is a full-time, exempt, fiscal year role that reports to the Director of Development.

 

Essential Duties & Responsibilities:

Events Management

  • Lead the planning, project management, logistics, and execution of all school-wide events including, but not limited to:
    • Fundraising and donor recognition events
    • Alumni gatherings
    • Admissions events (e.g., Open House, New Family Night, Admissions tours, and Middle School Directors panel)
    • School performances
    • Grade-level coffees
    • Academic nights (e.g., STEM night, SEL night)
    • Community engagement events (e.g., Grandparents and Special Friends Day, Community Education events)
    • Celebrations (e.g., Graduation, End of Year staff celebrations, and Board of Trustee events)
  • In collaboration with the Leadership Team, Advancement Team, and other departments, create and maintain an events calendar for the school, including timelines, budget, marketing/communications, and logistical plans
  • Execute event plans, assign responsibilities to school personnel and volunteers, and oversee the work of vendors
  • Identify trusted vendors (e.g., rental equipment, catering, etc.) and negotiate cost-effective contracts for services in accordance with the school’s purchasing policies; oversee agreements to ensure vendors deliver the contracted supplies and/or services
  • Oversee, produce, and share video recordings and photography of key events

 

Community Engagement

  • Serves as an Epiphany School Ambassador, sharing appropriate information to Epiphany School community members about events, programs, and initiatives of the school
  • Serve as the lead school liaison to the Epiphany Parent Council (EPC); collaborate with and support EPC events and volunteer efforts including EPC meetings, Carnival, First Friday Cocoa, Annual BBQ, and other EPC events
  • Cultivate and build long-term relationships with event chairs, donors, parents, trustees, volunteers, and others involved with school events
  • In partnership with HR Manager, develop, administer, and review policies and procedures to guide the school volunteer program and services, including developing and maintaining training materials and leading training sessions
  • Track volunteer activity and prepare an annual report on volunteer efforts and results
  • Create social media content to rally volunteer support and promote school events and initiatives

 

Additional Responsibilities

  • Supervises non-classroom duties, such as recess, arrival and/or dismissal, or front desk coverage, when assigned
  • Enhances professional expertise through membership in applicable professional organizations and participation in continuing education related to assigned responsibilities
  • Other duties, as required and requested by the Head of School

 

Typical Knowledge, Skills, and Abilities:

  • Must hold a bachelor’s degree in a relevant field and/or an equivalent combination of experience and education in relevant field
  • Minimum of 5 years of events management and/or project management experience
  • Proven ability to network with community members, build and maintain strong and positive relationships, and create community partnerships
  • Ability to handle competing priorities, meet deadlines in a timely and efficient manner, and maintain professionalism in a dynamic environment
  • Demonstrates a high degree of personal initiative with strong organizational skills
  • Must have strong attention to detail and the ability to pivot to big-picture vision
  • Ability to embody Epiphany School’s values, speak to the vision and mission of the school, and bring a positive, confident, and welcoming energy
  • Ability to work as a strong team leader, facilitating a team environment through personal work contributions and engaging in thought partnership
  • Excellent interpersonal and conflict resolution skills
  • Proficient in creative event planning, design, and aesthetics, and producing dynamic, engaging experiences that enhance a sense of community and belonging for a variety of audiences and event styles
  • Ability to work school hours (e.g., 8:00am – 4:00pm), with occasional evenings and weekends as required
  • Experience and comfort working in a Microsoft environment including MS Office
  • Experience with CMS and/or database management (e.g., Raiser’s Edge) a plus
  • Excellent oral, written, and presentational skills in the English language; fluency in additional languages a plus
  • Copywriting skills, social media experience, and familiarity with graphic design tools (i.e., Adobe Suite, Canva) and/or basic video editing a plus
  • Familiar with AV technology with an ability to troubleshoot technical issues

 

Compensation & Benefits:

The salary range for this role is between $70,000 - $85,000 based on the years of experience and education.
