Description

Position:  Director of Marketing and Communications Administration

Reports to:  Chief Communications Officer

Department:  Marketing and Communications

Status:  Exempt/Full-time

Position#: 6169

Summary of Essential Job Functions:

  • Serve as a strong right-hand to the Chief Communications Officer (CCO) with a focus on the administration and efficiency of the department.
  • Direct team members and drive the advancement of the projects and work within the department; ensure full integration of information amongst the team.
  • Participate in and lead projects as delegated by the CCO; contribute to the strategic and tactical prioritization of tasks, initiatives, and executive-level projects.
  • Coordinate projects across the department and with varioius external media and government relations agencies.
  • Compose and prepare correspondence, documents and presentations.
  • Work with the CCO and department directors and managers on substantive preparation for meetings, including development and distribution of materials (budgets, agendas, presentations for Board meetings, handouts, minutes, etc.) as well as coordination with other departments and/or external contacts.
  • Serve as primary point person for press inquiries; review requests on a frequent basis; flag and address any urgent matters or inquiries.
  • Research and help prepare earned media plans to support campaign and media opportunities
  • Assist CCO with preparation of departmental budget creation and reconciliation.
  • Manage the day-to-day logistics of the CCO's office: oversee complex calendars, adapt to changing priorities, act as a liaison with other departments and proactively anticipate departmental needs.
  • Conduct research, organize data and craft update reports.
  • Write talking points, speaking remarks and correspondence on behalf of the Chief Communications Officer and executive management.
  • Serve as the liaison between the CCO other C-Suite staff, communicating needs and priorities and managing them with the appropriate level of urgency.
  • Oversee management of public inquiries received through the Conservancy’s portals.
  • Collaborate with management team and NYC Parks regarding crisis communications.
  • Available nights and weekends for quick and collaborative responses related to Park-based issues.

Qualifications:

  • 8 to 10 years of experience of relevant work experience; experience working in the nonprofit sector very helpful.
  • Excellent judgment, foresight, and diplomacy; ability to maintain a strict level of confidentiality.
  • Superb business writing skills; ability to edit and proofread quickly and precisely.
  • Highly organized with excellent attention to detail; ability to juggle multiple tasks, prioritize and maintain poise under pressure.
  • Strong experience creating and managing budgets.
  • Ability to work well in a team environment; collaborative and committed to problem-solving.
  • Excellent knowledge of Microsoft Office including PowerPoint, Word and Excel; knowledge of Adobe Creative Suite strongly preferred.
  • Bachelor’s degree, preferably in Communications, Marketing or Public Relations or equivalent combination of education and experience.
