Description

Position Function: Chief of Staff to report directly to the CEO and work closely with our executive team. The Chief of Staff will impact productivity, lead strategic initiatives, interface and coordinate projects involving multiple departments, and represent ACH with key stakeholders. The ideal candidate will have proven experience in a business leadership/management role, with a special focus on executive-level advising, project execution, and key interdepartmental collaboration.  Knowledge of child welfare and non-profit operations is a plus. The job requires sensitivity to the service population’s cultural and socioeconomic characteristics.

Education Requirements: Bachelor’s in business, human services, or similar field degree required. Masters preferred.

Experience Requirements: Five, or more, years experience in business or management role.  Experience in planning and leading strategic initiatives. Excellent written and verbal communication skills. Strong interpersonal skills, executive presence, and productive collaboration across varying departments. An encouraging, can-do attitude. Problem solver who can make clear-headed decisions while under pressure. Experienced with project coordinating and management. Ability to work in a fast-paced, highly independent environment and juggle multiple ongoing projects, responsibilities, and relationships. Initiative-taking and self-sufficient Exceptional organizational and time management skills. Ability to motivate and lead people. Ability to analyze different scenarios, articulate advantages, and disadvantages of alternate approaches, and support specific recommendations. Demonstrated understanding of change management strategies and ability to succeed in efforts requiring system change. Ability to build relationships with stakeholders and peers. Ability to both individually and through leadership of a team, develop innovative and creative solutions to challenges and opportunities. Will be required to travel in order to attend meetings, training, or conduct business off site. Must have a valid driver’s license and meet agency underwriting standards if driving on agency business. Not required to transport clients.

Functional Requirements: Work closely with the executive team to develop and implement a human capital strategy that supports the overall organizational strategic plan.

Utilize creative problem-solving with an ability to work within processes but to conceptualize opportunities not defined by existing processes.

Align with the CEO toward achieving the most impactful realization of ACH’s mission and vision possible.  Provide the CEO with timely and accurate data, clear and honest communication, and behave with integrity for the good of the organization.

Working Conditions: Sitting long periods of time at a computer, receiving and returning phone calls. This position requires attendance at occasional off-site meetings or events.

Maintain a current working knowledge of all state, federal and local regulations associated with grants, contracts, licensing, accreditation, or other funding or oversight entities involved with the organization.

Exposure to Confidential Information: Maintain confidentiality and follow policies related to personnel records, client records, financial, operating, contract and procurement information.

Key Expectations/Responsibilities:

Strategy:

  • Work with and/or lead cross-functional teams involving strategic initiatives or special projects and ensure action items are executed on behalf of the CEO.

  • Serve as a thought partner and strategic advisor to CEO, standing in on meetings, challenging ideas and offering a unique perspective, and following up on action items with the team accordingly.

  • Coordinate and interact with senior leaders and executives, external affiliate leadership, and other external partners on a diverse range of strategic, operational, and organizational matters as it pertains to the CEO's work or as directed by the CEO.

  • Participates with and assists the CEO and senior management team in coordinating strategic planning, policy development, and decision-making.

  • Oversee specific initiatives involving business development opportunities and advocacy strategies, particularly when this work does not neatly fit within the organizational chart or falls between departments or leadership areas of responsibility.

  • Provide analysis, recommendations, and options to the CEO regarding high impact decisions.

  • Reviews operating results of the organization and compares them to established goals and makes recommendations to ensure that appropriate measures are taken to correct unsatisfactory results.

Administration:

  • Provides principal management support.

  • Drafts letters, emails, reports, and other correspondence on behalf of the CEO/President.

  • Prepares and/or contributes with the preparation of reports, proposals, briefing, presentation, and responses on institutional and strategic issues.

  • Track high priority initiatives for the CEO and provide status updates.

  • Manages the execution of special projects undertaken by the CEO, as well as handling questions, concerns, issues, and requests.

  • Supports CEO in meetings by taking notes and assuming responsibility for completion of action items.

  • Ensures timely and effective completion of projects and initiatives of the CEO/President.

  • Manages committee work with Board of Directors.

  • Researches and recommends new and revised policies and strategies.

  • Creates and maintains systems and processes to streamline operations.

  • Represents CEO in designated meetings, by email, and phone calls with internal and external stakeholders.

Foster Relationships:

  • Advances the mission and vision of ACH.

  • Acts as an extension of the CEO and information funnel, filter, and facilitator with internal and external stakeholders.

  • Manage some key relationships and build a process to track and nurture key stakeholders, investors, and clients.

  • Interacts on behalf of the CEO with colleagues across the agency to ensure alignment of special projects and initiatives developed or initiated by the CEO.

  • Participates as a member of the Executive Team and collaborates with Chief Officers
