Job Summary

Reporting to the Director of Fundraising Operations and Data Management (Director), the Assistant Director, Data Management (Assistant Director) is a key member of the All Stars Project (ASP) development team, which raises $11 million annually for the organization. Under the leadership of the President and CEO, ASP is embarking on an ambitious new vision and revenue growth plan. To serve this growth plan, our fundraising operations and data management team is expanding the team.

This role will assist the Director in the management of the data needs of the organization, including information related to fundraising, donors and business partners, and program efficacy, as well as the operational needs of the national development team. This includes managing and developing Raiser’s Edge NXT (NXT) database, managing email marketing tools, and ensuring an easy flow of data between Airtable (our program management tool) and Raiser’s Edge. The Assistant Director is responsible for onboarding and training staff in the database technology, standardized data entry, reporting and analyses, and administrative processes to guarantee an environment for excellence.  In addition, the Assistant Director assists the Fundraising Operations team in researching, planning, and implementing new technology for database and fundraising tools nationally, consistent with the organization’s vision of local and national needs and the organization’s technology and investment plan.  In that capacity, they will work closely with the Vice President of Development and Director of Annual Giving and Fundraising Operations. They will be joining the fundraising team during an exciting moment of growth.

The position is a hybrid role and requires some in-person attendance in the ASP New York regional office.

Job Responsibilities

  • Oversee the national data management function to help meet and exceed annual fundraising goals. Ensure training of fundraising staff to be able to use relevant fundraising tools in NXT.
  • Ensure that accurate donor information is maintained in order to facilitate cultivation and stewardship prospects.
  • Develop systems to ensure data integrity, including effective input and use of data. Ensure that relevant staff members are trained to execute appropriately.
  • Work with the Finance Department to ensure that the gift processing workflow runs smoothly.
  • Ensure that the gift recognition and receipting process fosters positive donor relations.
  • Create dashboards and reports on fundraising statistics, campaign-specific performance, and other fundraising initiatives.
  • Execute the integration of program data into Raiser’s Edge NXT and continue to review the integration of data where possible and needed.
  • Develop reporting structures for program, donor, and income analyses to senior development and program leaders.
  • Create and maintain analytic tools in NXT to meet the evolving demands of the organization.
  • Support the Becoming All Stars Expansion Campaign (public launch planned for May 2024), as well as special event campaigns. Oversee reporting needs and the complete capture of data needed for future fundraising work by the development team.
  • Provide support to the Executive Leadership Team as well as the Office of the President/CEO as needed.
  • Manage the database budget, including projections, allocating costs, and vendor and subscription management (renewals).
  • Manage, supervise, and mentor at least one direct report.
    • Direct recruitment, hiring, training, and management through coaching, providing regular feedback, and the creation of development or action plans.
    • Conduct timely performance assessments.
    • Conduct regular team meetings as well as regular one-on-one meetings.

Qualifications

  • 5+ years experience working with the Raiser’s Edge NXT (preferred) or comparable CRM tool, including data management and analysis in a not-for-profit setting.
  • Bachelor’s degree or equivalent experience preferred.
  • Experience with $100M+, multi-year fundraising campaigns.
  • Strong administrative skills, including the use of Microsoft Suite (MS Word, Excel, PowerPoint, and Outlook), Airtable, and email marketing tools.
  • Intermediate to advanced Excel (or similar) skills are preferred, including the ability to produce pivot tables, charts, and graphs and perform calculations and automation of large volumes of data.
  • Strong written, verbal, and interpersonal skills, including the ability to interact and communicate professionally with individuals at all levels of the organization.
  • Ability to create and implement a strategic plan for data management with expertise in pulling queries and reports, as well as working within multiple systems.
  • Proven capacity to apply independent judgment in planning, prioritizing, and organizing multiple tasks in a diversified workload.
  • Proven leadership ability, primarily as a direct supervisor.
  • Highly detail-oriented, organized, and motivated.
  • Discretion and sensitivity in handling and safeguarding confidential information.
  • Comfortable working in a fast-paced entrepreneurial environment.
  • Flexibility in schedule – some evenings and Saturdays are required for special events or other activities during peak season.
  • Understanding of the complex poverty-related issues and a commitment to creating opportunities for inner-city youth in outside of school contexts
  • Ability to provide required proof of Covid-19 vaccination.
