Position Summary

As a key member of the Senior Management team, the Vice President for Finance and Operations will report to the President and assume a strategic role in the management of the Foundation. In addition to comprehensive fiscal management, responsibilities include supervising Finance, Information Technology; Guest Relations/Sales. This position involves strategic financial planning, budgeting, and risk management, as well as overseeing daily operations to ensure smooth functioning and compliance. The VP is responsible for developing and implementing financial strategies, managing budgets, and providing financial insights to senior management and the board.

  THE ESSENTIAL FUNCTIONS OF THE POSITION INCLUDE, BUT ARE NOT LIMITED TO THE FOLLOWING:

  • Financial Management:
    • Develop and implement financial strategies aligned with the organization's goals.
    • Oversee budgeting, forecasting, and financial reporting processes.
    • Ensure accurate and timely financial reporting to internal and external stakeholders, manage all accounting processes including subledger close, and maintain integrity of financial transactions.
    • Oversee organizational spending and ensure efficient resource allocation.
    • Manage cash flow, investments, and debt.
    • Manage all investment and banking relationships.
    • Ensure compliance with financial regulations and standards.
    • Ensure compliance with bond covenants and submit required reports to document compliance with bond requirements.
    • Analyze financial data to identify trends and areas for improvement.
    • Prepare and present financial reports to senior management and the board.
    • Prepare and provide reports as needed for Gettysburg National Military Park.
    • Engage with auditors, schedule and oversee the annual audit, providing necessary documentation to produce accurate and timely Audited Financial Statements and the IRS Form 990 tax return.
  • Operational Management:
    • Oversee day-to-day operations of the guest relations and sales team in the Museum and Visitor Center, ensuring efficiency and effectiveness.
    • Oversee contractual relationships for the bookstore, food service, bus tours, and other operational vendors.
    • Oversee the implementation of the Foundation’s Information Technology strategy, ensuring appropriate IT infrastructure and security to improve efficiency, enhance the visitor experience, and support business growth.
    • Supervise and mentor operations staff, which include the Director of IT, Director of Guest Relations and Operations, and the Accounting Manager.
  • Strategic Leadership:
    • Advise senior management on financial and operational matters.
    • Contribute to the development of the organization's strategic goals.
    • Partner with other departments to achieve organizational objectives.
    • Serve as a liaison with the Board Treasurer, the Board Finance Committee, and the Board Audit Committee.
  • Risk Management:
    • Identify and mitigate financial and operational risks.
    • Ensure appropriate insurance coverage for the Foundation.
    • Develop and implement risk management strategies.
    • Review and sign/co-sign (or recommend for signature) contracts and legal agreements, as needed.
    • Act as liaison with legal counsel for the Foundation.
  • Team Leadership:
    • Lead and manage the finance and operations teams, which include Finance, Information Technology, and Guest Relations/Sales.
    • Promote a culture of high performance and continuous improvement.
    • Provide guidance and development opportunities for staff.

 

PERFORMANCE EXPECTATIONS:

As one of five vice-presidents, with responsibility for finance, operations, and strategic decision-making, the VP for Finance and Operations will help establish the direction of the Gettysburg Foundation. The successful candidate will demonstrate competence in both finance and operations, with an ability to deliver well-organized, timely results. The individual should have a solid understanding of the accountability expected of not-for-profit organizations, including a sensitivity to balancing transparency and confidentiality.
