Position Overview: 

The Grant Officer and Administrator will successfully research, prepare, submit, and administer publicly and privately funded grant applications that align with the strategic goals of the Dealer Cooperative. The candidate will also partner with and manage the relationship between the Dealer Cooperative and its third-party grant writing partnership.  The ideal candidate should have extensive experience with, and a proven track record of identifying potential grant opportunities as well as developing and submitting compelling proposals to secure funding.       The candidate will be responsible for the ongoing collection, analysis, and reporting of data to various stakeholders regarding the performance of the Cooperative’s activities, including all required post-award administrative and financial reporting required by donors.  The candidate will report to the Executive Director.

Summary of Responsibilities (not comprehensive of all tasks):

  • Assess and advise on organizational capacity, readiness, and alignment for prospective grant opportunities by identifying and researching new public and private grant funding opportunities consistent with the mission and purpose of the Dealer Cooperative and communicate these to the Executive Director for potential application.
  • Manage the development, composition, and submission of all required documents, letters of intent, financial budgets, and grant proposals, ensuring accuracy and alignment with the Dealer Cooperative’s mission and goals. Often, this will be done in conjunction with the Dealer Cooperative’s third-party grant writing partners.
  • Ensure compliance with all grant reporting requirements as required by donors and State-funded (CalRecycle) programs. Responsibilities include developing and managing tracking and reporting systems, preparing documentation for reimbursement submissions and progress reports, and overseeing any other necessary documentation.
  • Work closely with the team to manage all grant-related administrative tasks, including preparing financial reports and ensuring compliance with performance standards.
  • Meet regularly with the Executive Director and Board of Directors to discuss progress and updates to grant proposals, and answer questions regarding the allowability of expenditures and/or proposed processes related to various grant proposals.
  • Interpret and clearly communicate legislative rules, regulations, and guidelines for all grant proposals to relevant stakeholders.
  • Communicate clearly and accurately, at times in a public setting, details about all grant programs involving the Cooperative.
  • Maintain and update the Dealer Cooperative’s Stewardship Plan, as necessary.
  • Organize digital and/or physical records of all grants, including proposals, correspondence, approvals, amendments, and compliance documents for easy retrieval and auditing.

 Education and Experience: 

  • Bachelor’s degree, or equivalent experience in a related field.
  • Extensive grant writing experience, or similar experience strongly preferred. This experience should demonstrate a track record of securing new funding opportunities (public and private), and a demonstration of comprehensive knowledge of research techniques and best practices.
  • Ability to accurately interpret and communicate legislation, rules, and guidelines published by various levels of government (local, state, federal).
  • Familiarity with administering awarded grants, including preparing progress and financial reports for stakeholders.
  • Proficiency in research, interpreting, and analyzing diverse data.
  • Excellent computer skills, specifically Microsoft Word, PowerPoint, Excel, and Access or other equivalent database management skills, including proficiency with using AI.
  • Motivated self-starter who can work both independently and within a team to strategically plan and execute assigned tasks, focusing on meeting deadlines.
  • Strong verbal communication, written composition, and effective time management skills.
  • Proven ability to perform effectively in high-pressure environments.

Preferred Education, Skills, and Abilities:

  • 2 to 4 years of experience as a successful grant writer with a proven record of securing grant funding, with references.
  • Experience working with state-funded grant application processes, including knowledge of required criteria, as well as funding and reporting processes.
  • Ability to effectively use creative software such as Canva to develop printed media material to communicate the Cooperative’s mission to potential donors.
  • Working knowledge of the California Beverage Container Recycling & Litter Reduction Act and associated legislation.

Physical Demands (Working Conditions): 

  • Employees may occasionally experience prolonged periods of sitting at a desk and working on a computer. Must be able to lift 15 pounds at a time.
  • Traditional office environment, but may require nonstandard workplaces.
  • Employees will sometimes work evenings, weekends, and overtime hours to accommodate activities such as Board Meetings, meeting deadlines or assigned tasks, and representing the Cooperative at public events, as assigned.
  • Intrastate travel may be required.

Position/Salary: Full Time-Exempt  - $95,000 to $115,000
