Under the direction of the Foundation Executive Director, the Foundation Scholarships & Development Manager manages all gift entry, donor receipts, and acknowledgments. This position also administers Foundation Scholarships and student success grant distributions and tracking. This role manages grant reporting, prospect research, and analytics while ensuring accurate record-keeping. The position works with the Foundation CRM (DonorPerfect), scholarship database (AwardSpring), and Foundation budgets, and collaborates closely with Foundation staff, Fiscal Services, and grants teams.

Essential Functions

 

The Foundation Scholarships & Development Manager will be responsible for the following, but not limited to:

Database/CRM Management

  • Manage and maintain DonorPerfect, a customer relations management (CRM) tool, by creating new records, inputting data, and ensuring it is accurate and up-to-date.
  • Process gifts, enter pledges, create weekly and monthly reports for Finance, notify the Development team of new grants/pledges, and ensure thank you/acknowledgments are sent and/or emailed within 48 hours.
  • Enter and track donations, maintain records and data in the individual gifts, campaigns, letters/emails from funders, reports/letters/applications sent to funders, and Foundation Board documents. 
  • Update online forms and web content to collect donations.
  • Develop a system to track and collect multi-year pledges and restricted gifts.
  • Advise on process efficiencies and assist with reconciliation between Foundation and Finance database systems.
  • Build out complex code structures for gifts and points of donor engagement that are clear, comprehensive and long-lasting.

Scholarship & Endowment Award Management

  • Independently manage the Foundation scholarship program, including preparation of new scholarship agreements, maintenance and monitoring of existing scholarship agreements and maintaining regular contact with donors and students.
  • Prepare scholarship application process for students and coordinate scholarship application reading and scoring.
  • Manage the AwardSpring database and oversee all aspects of the Foundation scholarship program including answering student questions, securing and training a scholarship review committee, and ensuring payment to students.
  • Collaborate and communicate regularly and frequently with Financial Aid, Finance and other departments to process all awards.
  • Act as liaison between faculty/staff, students, and the public to provide information and resources regarding scholarship activities and programs.
  • Create an ongoing outreach and communications effort to promote the availability of financial support across the campus community.
  • Work with staff from Institutional Research to analyze data on recipients.
  • Meet with scholarship recipients and donors, as appropriate.
  • Create detailed stewardship reports and materials for donors, Foundation Board, and for general fundraising use.

Grant and Donor Reporting and Prospect Research

  • Support data gathering for both grant requests and post-award reports to foundations, as well as state and federal agencies.
  • Research prospective donors and Foundation Board members; prepare reports on prospective and current donor patterns and opportunities.
  • Lead efforts on prospect research and modeling scenarios and present to the team.
  • Oversee vendors contracted for database screenings, engagement modeling, and related services.

General Fundraising Support

  • Work closely with Executive Director and other staff to support fundraising strategies and integrate with college-wide initiatives.
  • Provide support for multiple fundraising appeals, mailings, and other activities; support strategies to incorporate monthly giving, internal/employee giving, alumni groups, ecampaigns, giving societies, and opportunities for donor recognition.
  • Co-create with Foundation team on fundraising strategies, alumni program, events, research and grants. Support departments across campus with DonorPerfect for gift acceptance, acknowledgement and documentation.

 

Qualifications

 

Education Required

  • Bachelor’s degree from an accredited college or university in non-profit management, accounting, database systems, or related field.

OR

  • Associate’s degree plus two (2) years of equivalent work experience in non-profit management, accounting, database systems, or related field.

Education to Experience Equivalences

Associate Degree = 2 years | Bachelor’s Degree = 4 years | Master’s Degree = 5 years

Experience Required

  • Experience with financial and relational databases (CRMs), including building code structures and analytical reports.
  • Experience tracking budgets, including monitoring expenditures, and reporting inconsistencies.
  • Ability to research, using multiple sources, to help explore solutions to logistical challenges.
  • Experience utilizing technology for efficient work outcomes.
  • Experience performing and coordinating complex work assignments involving multiple employees, departments, and locations, including setting priorities under pressure.
  • Experience successfully handling and communicating sensitive information.
  • Ability to learn and follow complex regulations, guidelines, policies, and procedures.
  • Experience in donor relations, marketing, event support, operations, prospect research, scholarship coordination, and database management.
  • Proficient in word processing, spreadsheet, database and related business-managed software. Understanding and knowledge of foundation, donor relations, and marketing principles and best practices.
  • Experience with fundraising and donor records systems, and donor management software, such as DonorPerfect, Raiser's Edge, or Bloomerang.

Terms of Employment

This is a full-time administrative - exempt position with Pierce College District. The primary work location will be at Pierce College, Puyallup campus. Frequent travel to Pierce College campuses or other sites may occur. Standard work hours are between 8:00 am to 5:00 pm, Monday through Friday, with occasional evening and weekend hours required. This position requires regular and consistent attendance and may be eligible for one (1) to two (2) telework days once the incumbent is established in the position.

Salary & Benefits

The salary range for this position is $77,624.00 to $96,040.00 annually. The salary will be determined based on the candidate's qualifications and related experience.

This position works indoors in an office environment which requires visual concentration on detail, dexterity, precision, and is subject to frequent noise and interruptions. This position operates in a dynamic and fast-paced environment.
