Reports to: Senior Grant Writer
Location: Hybrid role; 902 Broadway, New York, NY 10010 | 1071 East Tremont, Bronx (when in office)
Salary Range: $55,000 to $60,000

Serving approximately 14,000 individuals New Yorkers annually, we address barriers to educational achievement, economic security, and career stability through three key program areas.
- Education and School-Day Programs: Offering pre-kindergarten services, community schools, after-school programs, and college access counseling.
- Sector-Focused Training and Employment Placement Pathways: Providing specialized training, employment placement pathways, Summer Youth Employment, Work Learning Grow initiatives, and aiding residents in accessing new employment opportunities.
- Community & Economic Empowerment Services: Enabling community progress through community centers, resident services, food access, financial literacy programs, and support accessing benefits and wellness services.

Position Overview
The Development Associate will be critical in supporting Phipps Neighborhoods’ fundraising efforts by providing grant writing and administrative and donor stewardship support. Reporting to the Senior Grant Writer, this position will help advance the organization’s mission by securing funding from foundations, corporations, and government agencies, ensuring timely and high-quality submissions, and maintaining essential development operations.
Key Responsibilities
Grant Writing & Fundraising Support
- Assist in drafting, editing, and submitting grant proposals, letters of inquiry, and reports to foundation, corporate, and government funders.
- Conduct research to identify new funding opportunities that align with Phipps Neighborhoods’ programs and strategic priorities.
- Track proposal and reporting deadlines, ensuring timely and accurate submission of all required materials.
- Gather and synthesize programmatic and financial information from internal teams to support funding applications and reports.
- Maintain and update standard grant language, program descriptions, and organizational information for proposal use.
Development Administration & Data Management
- Maintain accurate donor and grant records in the organization’s CRM or donor database, tracking deadlines, contacts, and funding history.
- Assist in preparing acknowledgment letters, donor communications, and stewardship materials to strengthen funder relationships.
- Support donor and funder outreach efforts, including scheduling meetings, preparing briefings, and coordinating follow-ups.
- Assist in compiling data and generating reports to analyze fundraising progress and grant success rates.
- Manage digital and physical filing systems for development-related materials, ensuring accessibility and organization.
Event & Communications Support
- Provide logistical and administrative support for fundraising events, including invitation management, donor outreach, and follow-ups.
- Assist in developing donor-related content for newsletters, social media, and the website to showcase impact and increase engagement.
- Support the development team in coordinating site visits and funder engagement activities.
Other Responsibilities
- Stay informed about trends in nonprofit fundraising and philanthropy, particularly in education, workforce development, and community services.
- Provide general administrative support to the development team, including scheduling, meeting preparation, and other tasks as needed.
- Represent Phipps Neighborhoods professionally in donor interactions, external events, and meetings.
Requirements/Qualifications
- Bachelor’s degree in a relevant field (e.g., Nonprofit Management, Communications, English, Public Administration, or a related discipline) or equivalent work experience in nonprofit fundraising or administration.
- 1-2 years of experience in a nonprofit development, grant writing, communications, or administrative role (internships and volunteer experience will be considered).
- Familiarity with grant writing, prospect research, or donor stewardship is a plus.
- Excellent written communication skills, with the ability to craft compelling grant proposals, reports, and donor correspondence.
- Strong research skills to identify funding opportunities and synthesize information from various sources.
- Detail-oriented and highly organized, with the ability to manage multiple deadlines and track progress efficiently.
- Experience with donor databases or CRM systems (e.g., Salesforce, Raiser’s Edge, or similar) is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort using digital collaboration tools (Teams, Sharepoint).
- Ability to analyze and interpret financial and programmatic data for grant applications and reporting.
- Strong interpersonal skills, with the ability to collaborate with internal teams and external stakeholders professionally.
- Self-motivated and proactive, with a willingness to take initiative and problem-solve.
