POSITION SUMMARY

The Campaign Assistant is a full-time non-exempt position that reports to the Director of Development Events and Operations. This position will provide essential administrative, logistical, and operational support to the development team as the JFK Library Foundation executes its major gifts program. In addition, as the Foundation is in a growth period, this position will also assist the CFO for a limited period of time. This is an excellent opportunity for an early-career professional with a passion for the Foundation's mission to gain hands-on experience in the administration of major gift fundraising within a prestigious cultural institution.

JOB RESPONSIBILITIES

  • Provide day-to-day administrative support to the Vice President of Development and frontline fundraising staff, including calendar management, correspondence, meeting preparation, and travel coordination.
  • Support donor stewardship activities by preparing acknowledgment letters, donor reports, gift summaries, and other correspondence in a timely and accurate manner.
  • Assist with the coordination and execution of events, donor cultivation receptions, and stewardship activities, including logistics, invitation management, and on-site support.
  • Maintain and update donor and prospect records in Salesforce, ensuring accuracy and completeness of contact information, gift histories, and interaction notes.
  • Conduct donor research to support the major gifts team in identifying and qualifying new prospects for giving.
  • Prepare meeting materials, briefing documents, solicitation packages, and presentations for use by frontline fundraisers and senior leadership.
  • Track campaign activity metrics and compile regular reports on donor engagement, visit activity, and pipeline progress for the VP of Development.
  • Assist with gift processing coordination, ensuring timely routing of gift documentation to finance and gift processing staff.
  • Support the development team's prospect management workflow, including scheduling donor visits, preparing call reports, and tracking follow-up activity.
  • Assist in the preparation and production of collateral materials, including proposals, case statements, and donor recognition.
  • Serve as a resource for internal coordination between the development team and other Foundation and Library departments as needed.
  • Perform administrative duties as assigned by the CFO.
  • Perform other duties as assigned in support of the major gifts program and the broader development operation.

QUALIFICATIONS

  • Bachelor's degree required.
  • One to three years of relevant work experience in nonprofit development, fundraising, event coordination, or a related field preferred; recent graduates with demonstrated interest in the field will be considered.
  • Strong organizational skills and meticulous attention to detail, with the ability to manage multiple priorities and deadlines simultaneously.
  • Excellent written and verbal communication skills, including the ability to draft professional correspondence and donor-facing materials.
  • Proficiency with Microsoft Office Suite required; experience with Salesforce or other donor management systems preferred.
  • Demonstrated interest in the philanthropic mission of the JFK Library Foundation.
  • Discretion and professionalism in handling confidential donor information.
  • Ability to work both independently and collaboratively in a fast-paced environment.
  • Flexibility to work occasional evenings and weekends in support of Foundation events; combination of in-office and remote work. As this is an administrative position, the individual will be a key in-office staff member for this department.
  • A positive, service-oriented attitude and eagerness to support a high-performing development team.

SALARY INFORMATION

The salary range for this position is $50,000-$65,000 annually. Placement within the range is based on qualifications, experience, and internal equity.
