JOB TITLE:                                           VOLUNTEER COORDINATOR  

PAY GRADE:                                       4 ($17.00 - $21.50 per hour)

STATUS:                                               Non-Exempt, full-time (40 hours/week)

REPORTS TO:                                     HR Manager

LOCATION:                                         Rifle, travels to all Library District facilities

 

Summary: 

The Volunteer Coordinator performs intermediate-level administrative work in the selection of volunteers and the coordination of volunteer services throughout the District. The role is responsible for recruiting, onboarding, training, coordinating, and supervising all volunteer functions. The Volunteer Coordinator identifies volunteer needs at each branch and coordinates volunteer staff to meet such needs.

 

The Volunteer Coordinator strives to provide outstanding customer service to Library District staff, maintains an excellent rapport with community members and volunteers, and treats all individuals within and outside the District with courtesy and respect at all times.

 

The Volunteer Coordinator is responsible for understanding and enforcing all District policies and procedures, supporting the District’s mission, vision, and values. The Volunteer Coordinator is expected to be a team player.

 

Essential Functions:

  • Develop and maintain relationships with community contacts to recruit volunteers
  • Identify, define, implement, promote, and maintain a wide range of volunteer opportunities
  • Recruit, interview, and place applicants for volunteer opportunities
  • Train volunteers to effectively deliver the various volunteer-driven services available throughout the District
  • Develop and maintain a database of all District volunteers
  • Train, coach, and hold volunteers accountable to District policies, procedures, and individual performance; manage and resolve grievances to promote cooperation, trust, and interest
  • Schedule ongoing meetings and communications with all volunteers to keep them informed of the District’s short- and long-term goals and service standards
  • Maintain and analyze accurate records and reports related to volunteer services; use data to enhance volunteer programs and experiences and to ensure appropriate participation
  • Coordinate or manage volunteer-driven programs and services
  • Represent the District on internal and external committees and task forces as needed
  • Collaborate with the Education and Development Coordinator to develop and deliver relevant training to volunteers
  • Work with Education and Events Manager to design, produce, and maintain volunteer-driven classes and events
  • Attend and participate in professional group meetings; stay abreast of new trends and innovations in related field

Required Knowledge, Skills, and Abilities:

  • Ability to politely and effectively interact with community partners and the public
  • Ability to effectively communicate in English with staff and volunteers throughout the organization, both verbally (in-person, online, and on the phone) and in writing
  • Knowledge of techniques for providing a high level of customer service to the public, volunteers, and District staff, in person and remotely
  • Communicate clearly and persuasively, listen and clarify
  • Ability to evaluate and develop improvements in operations, procedures, policies, or methods
  • Ability to prepare clear and concise reports, correspondence, policies, procedures, and other written materials
  • Organized; skilled at planning and acting on schedules to ensure timely completion of projects
  • Ability to identify stakeholders when planning volunteer work and clearly communicate the project plan, including possible impacts to staff, volunteers, and patrons
  • Ability to travel throughout the District and able to attend meetings and conferences outside Garfield County as needed
  • Ability to effectively use Microsoft office and Google products (Word, Excel, G-Suite, Email, etc.)

Physical Requirements:

  • Frequently sits at a desk while using a computer for extended periods of time
  • Periodically moves equipment such as technology equipment weighing up to 25 pounds
  • Routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines
  • Reasonable accommodations may be provided to meet physical requirements

 

Environmental/Working Conditions:

  • May work from multiple locations including administrative offices and branch locations
  • Standard indoor office and library environments; some with fluorescent lights
  • Occasional outside work with exposure to weather elements

 

Education and Experience:
Required:

  • Bachelor’s degree in non-profit administration, human resources management, communications, or similar field
  • Two or more years of experience coordinating the work of volunteers, or equivalent experience related to project management or direct supervisory management of a large number of people

Preferred:

  • Prior experience working or volunteering in a library
  • Degree in Library Sciences or related field
  • Ability to communicate in Spanish a plus
