Description

Volunteers are a key strategic resource for Loudoun Hunger Relief (LHR) – the duties they perform range

from community food drives and fundraising, to working alongside our warehouse staff, to directly working

with our clients. Volunteers not only serve LHR with needed tasks and functions, but they are also

ambassadors for us in the community and are donors of their time and financial resources. The Volunteer

and Community Engagement Manager is directly responsible for the design, planning, and execution of

volunteer programs at LHR, including corporate team engagement, served community engagement, food

drive management and special event planning. This role explains opportunities to prospective volunteers,

recruits for, trains, schedules and supervises daily volunteer activities. Must be able to work in a fast-

paced and team-oriented environment. Must be culturally competent with the ability to have good

judgement and tact and enjoy working with a diverse variety of individuals and groups. This position

balances the mission of LHR—providing food to those in need—with the important role of LHR as a

meaningful volunteer space in our community. This position is also often the face and voice of LHR in the

community.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Daily Operations:

  • Respond to inquiries from prospective volunteers about volunteering at Loudoun Hunger Relief
  • Manages daily volunteer schedule and request substitutes as necessary
  • Maintains daily logs for volunteers to sign in each shift
  • Enter volunteer hours in volunteer database and provide volunteer data as needed for reporting
  • processes.
  • Hold daily meetings with volunteers at the beginning of each shift to provide that day’s instructions
  • Supervise and assist volunteers during food distribution hours and otherwise as needed
  • Work with operations staff to ensure volunteers have the supplies and space they need to perform the tasks on their shift

Ongoing Responsibilities:

  • Responsible for periodic strategic review of LHR volunteer programs to ensure organizational goals are being supported
  • Create new volunteer positions as needed and make changes in the volunteer program to further enhance our scope of service and maximize potential in all volunteers
  • Develops and manages systems to recruit new volunteers
  • Develops and maintains volunteer job descriptions and determines appropriate jobs for volunteers
  • Interviews potential volunteers, determines acceptance into program and places volunteer into
  • appropriate position as openings occur
  • Engages with LHR’s served community to invite participation in the volunteer program, including inviting those with lived experience of LHR’s programs to serve as advisors to LHR
  • Conducts volunteer training for all new volunteers and re-trains as required
  • Maintain Volunteer Training Handbook & update as necessary
  • Manages volunteer database and produces monthly volunteer hour statistics
  • Attends monthly staff meetings
  • Plans and implements annual Volunteer Recognition Event (usually held in fall) and National Volunteer Week activities (in April)
  • Mediate, counsel and/or solve problems with volunteers who may not be adhering to Volunteer Guidelines
  • Coordinate and produce regular volunteer communications in alignment with LHR Communications Plan
  • Continue to ask for and respond to volunteer suggestions – Give a voice to volunteers within LHR
  • Ensure that personal volunteer information and needed waivers are kept current in donor database
  • Ensure that requirements for different volunteer job descriptions are continually met by volunteers

(i.e. provide license and insurance information before driving, age restrictions, etc.)

  • Follow up with and send videos through ThankView to volunteers – send birthday cards as well as anyone who may need a special thanks, sympathy, get well, acknowledgement, etc. providing a personal and warm touch with LHR volunteers
  • Develop and maintain communication with other Volunteer Managers in community and continue networking efforts
  • Responsible for booking and leading group tours of facility with all staff
  • Responsible for handling all food drive inquiries, scheduling food drives, maintaining of on-line food drive sign-ups, and coordinating intake with the warehouse receiving staff
  • Responsible for handling incoming speaking requests and scheduling with appropriate staff or volunteer ambassadors as determined by guidelines provided by CEO and Development staff
  • Coordinate and track hours of any community service volunteers (stockers, warehouse workers, etc.) with the Operations Director
  • Coordinate needs for special event volunteers with the CEO and Development staff
  • Provide updates to Volunteer link on LHR website and LHR social media
  • Meet with Operations Director and Client Services and Partnership Team Lead weekly for any upcoming needs
  • Coordinate corporate service days with financial backing as well as offsite service days
  • Assist with food and equipment purchases related to volunteer activities or corporate team events
  • Attend meetings with Deputy Director and potential corporate supporters
  • Act as LHR’s representative at community events, including public speaking and presentations
  • Some weekend and evening hours may be required
  • Other duties as assigned

QUALIFICATIONS, KNOWLEDGE SKILL REQUIRED (Minimum education and experience needed to perform the job adequately)

  • 3-5 years of experience with supervising, coordinating, and evaluating volunteer services
  • Bachelor’s degree preferred or equivalent experience
  • Strong written and verbal communications skills
  • Fluent Spanish and English speaking and writing preferred
  • Understanding of the role of volunteerism in a nonprofit setting
  • Proficiency in MS Word, Excel and PowerPoint
  • Working knowledge of Volunteer Hub preferred

ADA SPECIFICATIONS

This position may have to stand, bend and lift. Up to 40lbs may occasionally need to be carried. This is a full-time position (37.5 hours per week).
