THE POSITION

The Stage Operations Supervisor leads, manages and supervises the Stage Crew in the safe delivery and running of all physical elements of any given Guthrie production, in support of the director’s and designer’s visions within the allotted time, budget, and scope of resources. The position provides vision and leadership for the department and facilitates internal and external communication. The Stage Operations Supervisor is expected to center, model and champion the Guthrie’s core values of Artistic Excellence; Community; Equity, Diversity and Inclusion; and Fiscal Responsibility.

 

This position is full-time, exempt and benefits-eligible. Compensation for this position is $50,800 - $63,500 annually plus benefits. The typical schedule for this role will vary based on the dynamic schedule of a theater.

PRIMARY DUTIES AND RESPONSIBILITIES

  1. Stage Operations Supervision and Leadership
  • Manage and supervise all members of the Stage Crew to promote a safe, healthy and productive work environment.
  • Manage the day-to-day schedule, determine staffing needs per show, and assign work to Stage Crew accordingly.
  • Maintain timesheets, personal time off requests, and other personnel records.
  • Conduct monthly check-in meetings and annual performance reviews with all Stage Crew employees.
  • Serve as Hiring Manager and/or participate in the recruitment and hiring of full-time or overhire staff as needed.
  • Attend and/or run department meetings to communicate pertinent information and shared organizational commitments.
  • Coach and develop staff members by monitoring employee productivity and providing constructive feedback; facilitating conflict resolution among employees; ensuring adherence to legal and organizational policies and procedures and undertaking disciplinary actions if the need arises.
  • Promote a positive work culture by leading open discussion, seeking professional development opportunities, and attending culture-building workshops and trainings.
  • Actively participate in fostering a work environment centering the Guthrie’s core values of Artistic Excellence; Community; Equity, Diversity, and Inclusion; and Financial Responsibility.

 

  1. Production Support and Collaboration with Design Teams
  • Coordinate with production management, scene shop, prop shop, lighting, sound and stage management to develop plans for handling scenery and props during performances, load-ins, change-overs and strikes.
  • Supervise crews to execute plans during the tech and preview process and run of the show.
  • In coordination with Stage Management and in consultation with all relevant departments, determine and create Stage Crew run tracks and cue sheets based on desired effects, transitions, storage and other performance-related tasks.
  • In collaboration with Stage Management, ensure that all cue sheets are up-to-date and accurate.
  • Assign staff to set and strike all tech tables and work lights before and during technical and preview periods.
  • Acts as a liaison on interdepartmental projects, such as the Guthrie Gala.
  • Attend production meetings, production department head meetings, load-in meetings and all staff meetings. Where appropriate, share all pertinent information with stage crew employees.
  • Consult with designers and production department members on any issues that arise during the production process which pertain to show running, installation and strike of scenery, automation, and props.
  • Attend post technical and preview performance note sessions, as required by the Technical Director.

 

  1. Manage Stage Operations
  • Manage the Stage Crew department by ensuring that all department supplies are stocked and replenished and that these resources are managed efficiently.
  • Proactively plan and foster communication within and outside of the department on upcoming shows.
  • Communicate with the Technical Director in order to gain information on ground plans, line set schedules, and other technical documentation as relevant. Visit the scene shop regularly to gain familiarity and understanding of how all the scenic elements will be loaded-in and constructed, with particular focus on how Stage Crew will move pieces during scene shifts and how scenic elements are stored off stage.
  • Ensure that the hard hat rack is fully equipped prior to each load-in and all correct health and safety signage is on display, and continue to ensure through load in and strike that all health and safety policies are being adhered to.
  • Work in tandem with the Work Safety Captain and Head of Automation and Safety to ensure that all Guthrie stages are free from hazards at all times.
  • In collaboration with the House Manager and Facilities team, ensure that the auditoriums are safe and clean for patrons and visitors.
  • Review/revise budget estimates for each production by tracking all relevant information through the rehearsal reports and ensuring these requests match the allocated budget and resource, as given to you by the Director of Production.
  • Communicate all relevant technical information to Stage Crew and other departments so the productions can run in a safe, timely, and resource-efficient manner.
  • Collaborate with all run crew on a daily basis to monitor project progress, equipment, and staffing needs.
  • Ensure that all stage crew run tracks are adequately staffed during planned and unplanned absences.
  • Assist with emergencies (injuries, malfunctions) as they arise during technical rehearsals and performances of shows.
  • Work with the Events Production Manager to support institutional special events as needed.
  • Work with the Technical Director on Dowling Studio productions as needed.
  • Coordinate pyrotechnic effects as needed, including hiring of pyrotechnic operators, when necessary.

 

  1. Stage Maintenance
  • Manage common areas to ensure the highest levels of safety and security.
  • Work with Technical Director to prepare and maintain capital expenditure lines.
  • Supervise the troubleshooting and repair of scenery, stage machinery, and props during pre-show/weekly checks and performances.
  • Ensure Stage Crew touches up and repairs scenery and props, when necessary.
  • Ensure that adequate stocks of Stage Crew materials, supplies, and consumables required to carry out duties are replenished.
  • Coordinate with relevant departments on the maintenance of scenic and prop elements during the run of the show, whilst knowing when to communicate effectively to other departments when the issues are beyond scope.
  • Ensure Dowling Studio demountable seating is maintained and compliant with all health and safety codes and regulations.

 

  1. Administration
  • Manage budget on a per-show basis to ensure effective utilization of financial resources.
  • Analyze and monitor budget statements on a monthly basis. Prepare purchase orders and budget reports.
  • Work collaboratively with other departments to determine and implement archival systems about each production for future reference.
  • Maintain files on shows.
  • Complete other duties as assigned.

 

ESSENTIAL KNOWLEDGE AND QUALIFICATIONS

  • Experience working in a LORT theater and a demonstrated understanding of current best theatre practices.
  • Prior experience as a Stage Operations Supervisor in a similar-scaled organization preferred.
  • Strong working knowledge of scenic construction, theatrical rigging, and stagecraft.
  • Experience working with automation equipment.
  • Working knowledge of the collective bargaining agreements between IATSE, LORT, AEA, and SDC.
  • Experience forming and managing relationships with visiting artists, staff, and overhire personnel.
  • Ability to be flexible and transition between tasks and projects when designs or priorities shift.
  • Experience supervising, mentoring, and leading direct and indirect reports.
  • Excellent creative judgment, communication, and negotiation skills.
  • Proficient skill in word processing and database preparation for information review, preparation, organization, and communication.
  • Experience with AutoCAD preferred.
  • Excellent time management skills.
  • Demonstrated ability to communicate effectively and persuasively both verbally and in writing on an interpersonal and group level.
  • Professional maturity as measured by the ability and willingness to exercise professional courtesy and discretion at all times and maintain confidentiality as required.
  • Ability to delegate tasks to others in order to keep the flow of work moving forward at an efficient rate.
  • Must be willing and able to work flexible hours/days reflective of the dynamic schedule of a theater.
  • Experience, ability, and commitment to working with individuals and teams that are mixed across lines of difference such as race, gender-identity, sexual orientation, religion, ability, age, class and immigrant status.
