Basic Function:

Provides administrative support to the operation of Komen’s key patient advocacy advisory bodies, including (but not limited to) the Komen Advocates in Science (AIS), the AIS Steering Committee (AIS-SC), and the Metastatic Breast Cancer Patient Advisory Committee (MBC-PAC). Provides project management support for assigned projects, including election and appointment processes, and ensures that deadlines and milestones are met. Coordinates logistics and prepares materials for patient advocacy meetings and events.

Primary Responsibilities: 

• Provides administrative support to the operation of Komen’s key patient advocacy advisory bodies, including (but not limited to) the Komen Advocates in Science (AIS), the AIS Steering Committee (AIS-SC), and the Metastatic Breast Cancer Patient Advisory Committee (MBC-PAC).

o Schedules conference calls, webinars and meetings for the patient advocacy advisory bodies. Assists with developing agendas, coordinates meeting logistics, drafts supporting documents, prepares meeting minutes, and provides other administrative support, as needed.
o Submits travel authorization forms, researches options for flights and hotels and books accordingly, processes invoices, travel expense reimbursements, and other provides other administrative support to mission leadership and meeting guests.
o Supports the meetings department in organizing catering, A/V needs, group meals and/or transportation and provides support on-site during meetings and events, ensuring accurate room set up, distribution of materials, greeting guests, handling logistical issues, etc.

o Prepares complex documents with information, graphics, photos, and other simple design elements; collaborates with creative team in marketing department to produce reports and other published materials as needed.

o Maintains financial calendar and ensures submission of budgets and reports on time. Provides first line review of monthly variance reports, identifying significant budget variances for the attention of mission leadership. Ensures variances are explained and submitted by the Director. Maintains thorough knowledge of accounting, project and activity codes to ensure accurate financial recording of expenses.

o Maintains complete and accurate records for the Patient Advocacy programs, using SalesForce or other contacts management systems/databases as appropriate. Prepares reports on assigned programs, as needed. Tracks patient advocates’ contributions to Komen and other advocacy accomplishments.

• Provides support for assigned projects, including election and appointment processes, and ensures that deadlines and milestones are met.
o Develops and maintains master production schedules for assigned projects and ensures that deadlines and milestones are met.
o Assists in the development and dissemination of surveys and other communication vehicles, tracks responses, and develops reports in collaboration with the Director, Patient Advocacy.

o Assists with drafting blog posts, patient advocacy profiles/stories, etc. as needed. Maintains PA team’s website information and coordinates with appropriate Komen staff and others to refresh and update content.

o Manages the solicitation and review of AIS member applications, AIS Steering Committee elections, and appointments to the MBC Patient Advisory Committee.
o Ensures that consulting agreements, confidentiality and conflict of interest disclosures, and other required documents are fully executed and reviewed during each member’s term of service.
• Coordinates logistics and prepares materials for patient advocacy meetings and events.

• All other duties as assigned.

Position Qualifications:

  • 2-5 years of experience working in public health or other relevant field; experience working with a health-related non-profit serving a patient community; experience working with volunteers, patients or patient advocates
  • Bachelor's degree

Preferred Experience:

Master’s degree in life sciences, public health or other relevant field; experience working with a health-related non-profit serving a patient community; experience working with volunteers, patients or patient advocates.
