Overview

STAIR provides reading tutoring to second and third-grade students at public and charter schools in the New Orleans area. The Program Manager helps to ensure the successful delivery and administration of STAIR’s tutoring program. Overseeing program delivery, quality control, and evaluation, the Program Manager supervises the work of In-Person Site Coordinators, Virtual Coordinators, the operation of tutoring sites, the implementation of STAIR’s curriculum, relationships with schools and community partners, STAIR Program Staff, interns, and volunteers. This position reports directly to the Executive Director.

The key job responsibilities of the Program Manager are:     

Program Overall

  • Interviews and hires In-Person Site Coordinator(s) and Virtual Coordinator(s) in collaboration with the Executive Director
  • Trains and oversees the work of In-Person Site Coordinator(s) and Virtual Coordinator(s)
  • Ensures In-Person Site Coordinator(s) and Virtual Coordinator(s) adhere to STAIR policies, including accurate and timely record keeping
  • Fills in for In-Person Site Coordinator(s) and Virtual Coordinator(s), if necessary
  • Serves as the first point of escalation for minor problems and facilitates resolutions; escalates to Executive Director, as necessary
  • Serves as the point of contact for program emergencies and immediately contacts the Executive Director
  • Notifies and supports the Executive Director with human resources-related needs and issues
  • Reviews expense reports from In-Person Site Coordinator(s) and Virtual Coordinator(s) and forward to the Executive Director for approval
  • Creates, manages, and hosts Volunteer/Tutor training (in-person and virtual)
  • Creates, manages, and hosts Site Coordinator(s) and Virtual Coordinator(s) training sessions
  • Continuously looks for ways to improve the STAIR Program, Volunteer Communication, Parent/Guardian Communication, and Community Communication
  • Serves as the first point of escalation for minor problems and facilitates resolutions; escalates to Executive Director as necessary
  • Provides ongoing training, as necessary
  • Oversees the operations of STAIR’s tutoring sites, including working with STAIR partner organizations
  • Visits and monitors the operations of tutoring sites regularly (including bringing materials and helping to set up each site)
  • Reports to the Executive Director for on-site needs, achievement of program goals, and feedback from sites and partners for program evaluation and planning
  • Works closely with the Executive Director to ensure that tutoring sites have all necessary curriculum, teaching aids, and materials, including an appropriate quantity, quality, and variety of books in site libraries
  • Provides support to In-Person Site Coordinator(s) and Virtual Coordinator(s) in tutor retention and tutor-student match issues
  • Provides tutor management information at In-Person Site Coordinator(s) and Virtual Site Coordinator(s) trainings and meetings
  • Manages student and tutor/volunteer registration - application, selection, placement, and matching each semester for all STAIR programs
  • Prepares the quarterly and annual Program Reports including student demographics, student attendance, program outcomes, student achievement, and partner feedback
  • Reviews student screenings and assessments
  • Oversees and Participates in Student Recruitment
  • Plans and conducts Tutor Workshops, if needed
  • Assists In-Person Site Coordinators with Tutor Oversight
  • Maintains Office Hours for Tutors, as needed
  • Assist in annual program planning and budgeting
  • Creates and manages annual program dates in conjunction with the Executive Director
  • Conceives and leads Program expansion ideas and growth
  • Maintains and oversees STAIR’s book inventory (purchases and donations), including annual donations to students’ home libraries and community giveaways 
  • Plans and implements National Volunteer Week activities within the STAIR program, including recognition events/parties, site visits, social media, and related activities
  • Prepares content for weekly student and tutor newsletters
  • Assists with all marketing and communications:
  • Periodic e-blasts to external audiences, partners, funders, and supporters 
  • Tutor Talk 
  • STAIRWay to Success for parents
  • Thank you letters
  • Postings on social media outlets related to the program
  • Website updates 
  • Press releases

 

Administrative

  • Works to record and maintain accurate and up-to-date volunteer/tutor information and hours
  • Distributes volunteer resources and recognition materials
  • Answers the phone in the office, as needed
  • Helps prepare materials for meetings, training, and presentations
  • Oversees student databases, including student testing and assessments and organization of files
  • Assists in maintaining and overseeing STAIR’s book inventory (purchases and donations), including annual donations to students’ home libraries and community giveaways
  • Posts volunteer and tutor opportunities online and with other nonprofits

 

Qualifications and Skills  

  • At least three years of relevant experience in education (teaching or administration) and/or nonprofit management preferred 
  • An undergraduate degree from an accredited college or university is required
  • Excellent leadership and organizational skills 
  • Strong interpersonal skills and the ability to relate well with students, teachers, administrators, parents, and the community
  • Experience with lower elementary school children preferred
  • Self-motivated and able to consistently meet deadlines
  • Ability to motivate and direct groups of employees and students
  • Ability to work independently without any direct supervision
  • Ability to lift and carry 40 lbs., including up and down stairs
  • Ability to stand and walk around a classroom for 1.5 hours
  • Proficient in Microsoft Office and Google Workplace (formerly G Suite) applications

Hours  

Approximately 40 hours per week.  Year-Round Position. Office Hours are 9:00 - 5:00 p.m. Program hours are Monday through Thursday 9:00 a.m. - 6:30 p.m. September - December and January - May.
