Description

The California Endowment is seeking a Payroll Specialist with strong attention to detail to join our team.

The Payroll Specialist will be part of the finance team and responsible for not only processing the bi-weekly payroll cycle but also reconciling all unique payroll elements (wellness reimbursement, supplemental benefits, retirement contribution match, 9-80 schedule timekeeping. etc.) to ensure that the payroll accounting is accurate. Candidates with strong foundational accounting knowledge in addition to payroll experience desired.

Candidates with understanding of Federal and State laws, ADP proficiency, and experience working in varied time keeping schedules (i.e. 9-80 schedule) desired.

POSITION SUMMARY:

The Payroll Specialist is responsible for the timely and accurate processing of payroll, ensuring compliance with policies and legal requirements, validating payroll reports, proactively ensuring a thorough knowledge and understanding of changes to policies, state and federal laws impacting payroll. Analyzing advancements in payroll technology and making recommendations to improve payroll processes and functions. Provide resolution on payroll questions to employees. Working closely with management on employee timecard issues in addition to partnering with finance, human resources, IT and third-party payroll processor to resolve payroll related issues.

POSITION ACCOUNTABILITIES:

  • Accurate and timely processing of biweekly payroll, PTO cash out and bonus payroll in accordance with policy, state and federal requirements.
  • Verify payroll for all employees within a time restricted deadline.
  • Validation of payroll database for reflection of current and accurate information, reconciliation of biweekly payroll and benefit transactions.
  • Collaborate with Human Resources to verify the accuracy and timeliness of all payroll related changes entered by HR department.
  • Verify and upload completed and approved timekeeping records, both by employee and supervisor in the timekeeping system in accordance with required deadlines.
  • Communicate with managers and employees any timecard issues and identify solutions to resolve such issues.
  • Assistance in maintaining and managing payroll, time keeping & attendance systems to ensure compliance with all applicable state and federal laws while meeting desired internal business needs.
  • Provide various ad-hoc payroll related reports for surveys, management and auditors.
  • Conduct bi-weekly payroll reconciliation and process related journal entries when required.
  • Perform year end payroll tax analysis and W2 reconciliation.
  • Assist in the annual financial audit for all payroll related audit testing, 401(k), cash balance plan, and serve as the liaison for worker’s compensation audit.
  • Manage and update policies and procedures related to payroll and timekeeping.
  • Engage in professional and technical knowledge by attending educational activities to ensure payroll best practices.
  • Adhere and comply with federal, state and local legal requirement with existing and new legislation.
  • Provide recommendations to management to improve payroll processes and functions.
  • Maintain a high level of service-oriented approach in assisting employees’ questions regarding their payroll, analyzing problems, identifying solutions and taking appropriate actions to resolve discrepancies while maintaining strict confidentiality.

QUALIFICATIONS/SKILLS:

  • Proficiency in using automated payroll processing systems: ADP Payroll and Timekeeping System preferred
  • Previous payroll processing experience as a payroll coordinator or payroll specialist
  • Customer service oriented attitude with excellent communication skills/verbal & written
  • Attention to detail and quality of work product
  • Ability to multitask and take initiative to anticipate and resolve issues
  • Microsoft Office Word, Excel and Outlook
  • Experience with 9/80 work schedules
  • High level of integrity and discretion in handling sensitive and confidential information
  • Must pass a background and credit check
  • Certification by American Payroll Association a plus

MINIMUM EDUCATION:

AA in Accounting or equivalent work experience

MINIMUM EXPERIENCE:

Three to five years of experience in payroll processing as a payroll coordinator or payroll specialist

TARGET SALARY RANGE:

$30.77- $37.98/hr
