Description

Partners for Justice (PFJ) was founded to transform public defense locally and across the United States, diminishing the effect of race and wealth on legal outcomes. We are seeking an Operations Coordinator to help manage the overall workflow of a growing organization.

We work to ensure that public defenders are equipped to assist clients with the underlying drivers of legal system involvement, to secure better legal outcomes both inside and outside the courtroom, and to help more clients emerge from prosecution with their rights, life, and future protected. Since our launch in 2018, PFJ has grown rapidly and we now support nearly 25 public defender agencies across the country through embedded collaborative defense teams and capacity-building support.

The Operations Coordinator will ensure that our national team stays on top of its priorities, that PFJ is engaging its Board of Directors effectively, and that the organization remains compliant with state, federal, and funder requirements. This person will provide limited administrative support to PFJ’s Co-Executive Directors, as well as taking on special projects requiring research and analysis as directed by Co-Executive Director Rebecca Solow, who will supervise this position.

Responsibilities

  1. Board of Directors coordination: Assist in preparing Board meeting agendas and drafting materials, including gathering information from other team members. Schedule Board meetings. Take notes and prepare minutes. Maintain up-to-date files for Board documentation.
  2. PFJ national team coordination: Schedule national team meetings and senior leadership team meetings. Prepare agendas and draft or gather materials for these meetings. Take meeting notes and distribute to participants. Ensure action items are identified and follow up with the appropriate team members. Maintain national team calendar.
  3. Compliance: Maintain a calendar of PFJ’s state and federal compliance obligations. Ensure all required filings, payments and other obligations are met on time.
  4. Contract administration: Prepare statements of work and payment schedules for PFJ’s contracts with partner offices. Maintain up-to-date files of PFJ contracts and ensure they are shared with appropriate team members.
  5. Grant reporting: Coordinate with development, impact measurement, and finance colleagues to prepare grant reports. Prepare programmatic and financial reports.
  6. Special projects: Complete analytical or research projects to support specific projects or overall organizational operations, as directed by the Co-Executive Director.
  7. Administrative support: Assist PFJ’s Co-Executive Directors with some administrative tasks, including but not limited to drafting correspondence, booking travel, coordinating mailings, and scheduling meetings.
  8. Other duties as assigned.

Desired qualifications

  • Commitment to PFJ’s mission and to our vision of collaborative, client-centered representation for low-income people involved in the criminal legal system
  • Bachelor’s degree and two years of experience (Coordinator) or five years of experience (Manager) providing operational or administrative support in a non-profit setting. Other very relevant experience will also be considered in lieu of these requirements
  • Prior exposure to public defense, legal aid, or progressive criminal justice work is a bonus
  • Exceptionally organized and detail-oriented; takes pride in not letting anything slip through the cracks
  • Experience working remotely and the ability to stay motivated and productive in a remote work environment
  • Experience working in a small organization or start-up environment preferred
  • Orientation to solutions and positive problem-solving, with the ability to work both independently, in small teams, and with supervision
  • Excellent written and verbal communication skills; the ability to convey information clearly and concisely to a senior audience
  • Ability to accurately perform basic analysis of programmatic and financial data
  • Skill with Microsoft Word, PowerPoint, and Excel. Experience using Google Suite

Compensation & Benefits

This is a full-time, salaried position with a salary range from $50,000 - $65,000, based on experience. PFJ’s benefits package includes employer-paid medical and dental coverage, a 401k program, and reimbursement for Bar or other professional dues among other programs. PFJ employees work remotely with the benefit of flexible hours. We also encourage our team to rest and take care of themselves, which we support with unlimited sick leave and vacation, as well as 12 office holidays and a year-end rest period.
