Position Summary

As part of the Tides mission to accelerate the pace of social change, the Grants Manager manages a team of grants administrators, specialists and senior specialists, ensuring regulatory compliance and streamlined processing for all aspects of Tides’ grantmaking process. Duties for the Grants Manager include managing overall grant efforts, managing the department budget, optimizing grants processes and working cross-departmentally to integrate them with other departments, ensuring compliance with relevant rules and regulations, educating staff on policies, leading the team in long-term strategic planning including the development of grants management systems, providing quality and timely client services for both internal and external clients, and fostering professional and individual development of team members.

Essential Duties and Responsibilities

Leadership

· Manages a team of grants administrators, specialists and senior grants specialists, holding staff accountable to achieve team goals and ensuring they have the appropriate skills to accomplish their objectives

o Delegates responsibilities for rotating roles and responsibilities

· Responsible for the professional and individual development of team members

o Identifies opportunities for the team and individuals to attain additional skills and knowledge necessary to growing an efficient and knowledge Grants Team

· Leads larger Grants Team projects by holding staff accountable to deliverables, removing roadblocks, and providing support and information as needed

· Provides link to and builds trust with other department leads to ensure grantmaking activities are smoothly implemented

· Facilitates necessary cross-departmental meetings to maintain open communications and build relationships between teams

· Represents needs and contributions of Grants Team as an integral hub of experts and partners that directly contributes to Tides’ strategic goals and objectives, including at meetings of Managers and other leadership meetings

· In partnership with Senior Grants Specialists, trains new staff on Grants process and compliance

Planning

· Works with organizational leadership and team to set long-term Grants Team strategy in line with departmental and organizational objectives

· Collaborates with leadership on annual planning and budget

· Works with cross-departmental teams to manage year-end planning and grants flow

· Reports to the General Counsel, Board and CEO on grantmaking numbers, patterns, and issues

Grantmaking Policy, Compliance, and Process

· Provides oversight and information for all areas of grants processing and compliance

· Collaborates with Legal team to ensure grantmaking is compliant and to resolve compliance inquiries

· Reviews high-risk grant recommendations to ensure that due diligence meets regulatory and compliance requirements

· Leads the team in continually streamlining and improving operational processes and staying up to date with grantmaking regulations

· Drafts and updates grants management manual

· Advises and implements changes to policy and procedure to enhance effectiveness of grantmaking program

· Collaborates with cross-functional teams to ensure accurate IRS reporting

Client Service

· Collaborates with cross-functional departments improve services for Tides’ partners

· Serves as a resource for other departments to consult on grant-related questions

· Works closely with Strategic Partnerships team to ensure consistent and streamlined client on-boarding

· Consults on all clients’ development of grantmaking programs and best practices

· In partnership with Senior Grants Specialists, responds to external data requests

Systems

· Part of a cross-functional work group that leads the design and implementation of the grants management system

· Implements and maintains grants management software that aligns with current and potential processes as well as the needs of other departments and external partners

· Leads team efforts to continuously maintain and improve grants management software

 

Knowledge, Skills, and Abilities

Grants Management

· Strong understanding of and experience working with Donor Advised Funds and regulations associated with them

· Knowledge and application of best practices in grantmaking, including rules and regulations, Expenditure Responsibility, lobbying, and electoral issues

· Knowledge and experience working with grants management software and relational databases (Fluxx and SalesForce experience preferred)

· Strong knowledge of Excel (VLookups, pivot tables, and intermediate-level functions)

Management and Communications

· Ability to communicate technical and program details to staff, grantees, and clients

· Demonstrated client service experience

· Ability to design and implement effective workflow processes and procedures

· Capability to foster an atmosphere that recognizes and respects cultural and individual differences; ability to motivate and maintain a close-knit, high functioning team

· Strong organizational skills with careful attention to detail

· Ability to function in a fast-paced work environment and to adjust to competing priorities

· Ability to work with a variety of clients and partners, including corporations, grassroots organizers, foundations, and others

· Ability to work collaboratively and cross-functionally, while maintaining leadership and ownership of Grants function

· Adaptable and open to change

· Extensive use of Microsoft Suite and strong database experience

· Ability to hold self and others accountable for high-quality, timely, and effective results

Education and Experience

· Undergraduate degree required

· 5 years of experience in a similar management position, preferably in the nonprofit sector

· 3-5 years of grants administration in a philanthropic or other grant-making institution, including experience with donor advised funds and international grantmaking preferred
