Position Overview

The Grants Administrator is responsible for overseeing all activities associated with grants and contracts (before and after the award process) to ensure excellent stewardship of the Neubauer Family Foundation’s funds and maximum impact.

 

The Grants Administrator reports to the Executive Director (ED) and works closely with other members of the NFF team.

Responsibilities

  • Review grant proposals and make recommendations to program staff and the Executive Director.
  • Communicate regularly with ED and grantees around issues related to the administration, monitoring and payment of grants and projects:
  • On a monthly basis, determine if scheduled payments should be made based on grantee need and the status of reports. Prepare payment list with recommendations to ED.  Obtain ED and trustee approval and process payments.
  • Monitor grants in progress and review grants that have completed their grant period to determine if they have achieved their grant outcomes.
  • Consult with prospective grantees and assist nonprofit organizations in their interactions with the Foundation in order to maximize their understanding of NFF and the expectations associated with receiving a grant from NFF.
  • Analyze grantee financial information (including financial audits, compilations, reviews and form 990s), analyze grantee financial reports and create related documents for review with the ED.
  • Manage grants administration system (currently residing in Salesforce), accurately enter information into the database including new grants, reports, modifications, payments, rescissions, closing grants and projects and other information relevant to the oversight of open grants and projects.
  • Create documents including grant agreements and modification letters based on action of the ED and Trustees.
  • Serve as an institutional resource as a grant tracking expert.
  • Prepare memos, schedules and other information for the ED related to monitoring status and impact of the grant and project portfolio.
  • Prepare written and other necessary materials that summarize issues and decisions for consideration.
  • Develop and implement (new or revised) grants policies, procedures and special projects responsive to the needs of the Foundation, ensuring compliance with organizational and legal standards.
  • Accompany ED on grantee site visits, when requested.
  • Additional duties as assigned.

Requirements

The ideal candidate will have the following experience:

  • A minimum of 3 years of professional administrative and/or entry-level financial work in a fast-paced environment
  • Bachelor’s degree required; course work in accounting is preferred
  • Knowledge of basic accounting terminology and financial statement analysis
  • Excellent computer skills including spreadsheet and database applications and word processing software skills preferred including the ability to create, generate and modify documents using the applications
  • Ability to conduct research on the Internet
  • Salesforce experience strongly preferred and ability to learn software specific to Foundation
