Title: Finance and Operations Officer

Reports to: Chief Financial and Administrative Officer

Location: Boston, MA (US-based remote OK)

Classification: Full-time, salaried (exempt), Grade 3

Overall Responsibility

RefugePoint is looking for a full-time Finance and Operations Officer to support our global deployment programs. The position will provide full-time operational support to the deployment programs, which includes expense report management, assisting with payroll, participating in candidate interviews and onboarding, and serving as a focal point for our deployed staff on matters relating to these items.

This position reports to the Chief Financial and Administrative Officer, and coordinates closely with the Associate Director for Deployment Programs, Associate Director of Finance, and Human Resources Manager.

The position is based in the Boston office, although RefugePoint offers some flexibility in working from home a few days per week, as well as a flexible work schedule.

The successful candidate will have experience completing similar tasks in a professional working environment for at least 4-5 years, along with the experience in work with a range of personalities and projects and have the ability to work independently and with a team. The candidate will also enjoy supporting and developing an organizational culture based on concrete values.

 

Key duties and responsibilities include but are not limited to:

  • Review monthly travel expense reports while paying particular attention to accuracy and allowability based on existing policies
  • Assist HR & Finance staff with payroll calculations and processing
  • Serve as the focal point for managing RefugePoint’s travel expense reimbursement platform, in coordination with other operations staff
  • Maintain the agency’s internal tracking document for staff arrivals and departures
  • Maintain the agency’s internal per diem rates, exchange rate schedules, and other information needed for travel expense management
  • Participate in the recruitment process for Experts, including being a regular member of the interview panel
  • Assist in benefits administration of deployed staff, including insurance enrollment, unenrollment, and communicating the same to providers
  • Participate in the agency’s onboarding process for new deployment staff
  • Serve as the primary point of contact between the Boston operations team and our deployed staff, ensuring smooth communications on all matters related to expense reimbursements and re-directing other questions as necessary
  • Work closely with operations staff in Boston and Nairobi to ensure smooth implementation of the agency’s deployment program

  • You have experience working closely with office technology, including hardware, software, and web-based platforms
  • You have a degree in business administration or accounting, or similar work experience
  • You have some knowledge of accounting (helpful, but not required) or you have strong financial literacy
  • You have strong excel and google sheets skills
  • You have good analytical skills and enjoy problem solving
  • Communicate clearly, write well, and speak eloquently. You can explain just about anything to anyone, and you’re comfortable communicating in writing and on the phone
  • You are well organized and good at setting priorities so that nothing falls through the cracks on your watch
  • You like learning new things and can learn quickly
  • Are flexible - when things change, you can adapt easily

 

The ideal candidate will have experience with:

  • Employee Expense reports
  • Processing or assisting with payroll
  • Working with Microsoft Excel, Google Sheets, or similar software
  • Cross-cultural communication
  • Web-based tools and platforms such as Google Workspace, Monday.com, Zoho Expense, or other similar platforms
  • Confidentiality and discretion
  • Working in a non-profit setting (preferred but not required)
  • Working in a foreign country, or at least understanding challenges faced by persons doing so (preferred but not required)

Compensation:
