Description

California Partnership for Safe Communities works with cities to achieve sustainable reductions in violence and improve the relationship between police and communities. CPSC engages a broad cross-section of stakeholders to implement evidence-based interventions and reduce reliance on enforcement strategies that increase incarceration and recidivism.

We're looking for a conscientious, detail-oriented, and good-humored finance and administrative specialist to join our team. This is a part-time but well-compensated position in Oakland, Calif. Depending on experience and qualifications, it pays $40 to $50 per hour, 5 hours per day, 3 days a week (with some flexibility about days and hours). Additional compensation includes 3 weeks paid time off at part-time rate. Our work environment is busy but relaxed and informal.

The finance and administrative specialist will focus on two areas: (1) finance and accounting support (60%); and (2) general administrative support, including meeting support (40%).

  1. Finance and Accounting Support (60%)
  • Assist with and work under the guidance of an external consultant on the organization’s bookkeeping and related fiscal administration
  • Support payroll administration 
  • Assist with staff expense reporting and reimbursements including monthly mileage, etc.
  • Process and record accounts receivable (payments for invoiced services, grants, donations and other deposits) and payable (payroll,  vendor bills, electronic payments, credit card expenses)
  • Support the budgeting process
  • Support tax preparation
  • Compile all materials to support grant proposals and contracts
  • Support maintenance of annual grants calendar (including proposal due date, report date, etc.)
  • Complete narrative and financial reporting to foundations and other donors
  • Process contracts and consulting agreements
  • Manage record keeping, system backups, filing and data entry
  1. General Administrative Support (40%)
  • Manage office supply and equipment needs and maintenance
  • Handle mail and deliveries 
  • Arrange staff travel 
  • Maintain record of board meetings and actions  
  • Assist with phone and reception service as needed
  • Occasional website updates 
  • Schedule meetings and manage contacts – coordinating RSVPs and attendance
  • Support preparation and production of meeting materials
  • Event planning and travel logistics (arrange facilities, catering, and travel for staff and contractors)

Requirements

Required qualifications:

  • Prior experience in finance and accounting support described above, in a nonprofit setting 
  • Experience and demonstrated skills in Quickbooks 
  • Demonstrated experience managing sensitive or confidential information and maintaining high ethical standards 
  • Strong Microsoft Office Suite skills including Word, PPT, Outlook and Excel 
  • 2 to 4 years of relevant professional experience 
  • Excellent written and oral communication skills; ability to communicate effectively with a wide variety of people at all levels
  • Ability to plan and prioritize workflow, handle multiple tasks simultaneously, and deliver high-quality work on time

Desired qualifications:

  • Experience working with Google Apps and WordPress
  • Experience working in a diverse setting
  • Experience troubleshooting office equipment, including computers
