Description

The Executive Assistant is responsible for providing seamless support to the Executive Director/CEO. This role provides administrative support to the Executive Director/CEO including calendar management, travel/accommodation bookings, meeting support and research as needed.

The Executive Assistant will serve as the liaison between the Executive Division and other departments. This position is responsible for and will be held accountable for handling highly confidential matters and materials with discretion.

The successful individual in this role will demonstrate a high level of initiative, be able to anticipate the needs of the Executive Director/CEO, have a strong personal presentation, and demonstrate good judgement in a variety of situations with an impressive work ethic.

Duties and Responsibilities

  • Maintain the confidentiality of the Executive Director/CEO and the Executive Division.
  • Screen telephone calls, visitors and incoming correspondence, referring calls and visitors to appropriate individuals. Personally respond to requests for information concerning office procedures and organizational policies, determining which requests should be handled by the Executive Director/CEO, appropriate staff member or other offices.
  • Read and answer correspondence, in the name of the Executive Director/CEO, that does not require her attention. Draft correspondence for the Executive Director/CEO in response to requests from incoming mail which requires her attention. Prepare and sign routine, non-technical correspondence in own name.
  • Provide backup materials and agendas for all meetings. Schedule and arrange for travel needs. Assist in management of professional obligations of Executive Director/CEO.
  • Handle substantive projects delegated by the Executive Director/CEO in support of the needs of the office, as required by the Executive Director on an as-needed basis.
  • Other duties as assigned.

Requirements

Required Knowledge, Education or Experience

  • Bachelor’s degree or equivalent work experience required;
  • Demonstrated high level administrative experience required.
  • Computer literacy in varied software packages, particularly Microsoft Office Suite including PowerPoint.
