JOB SPECIFICATION
POSITION: Executive Assistant to Chief Executive Officer (CEO) & Chief People Officer (CPO)
LOCATION: Great Hearts Phoenix Home Office
DEPARTMENT: 400 CMO – Executive General (America)
REPORTS TO: Chief Executive Officer & Chief People Officer
FLSA STATUS: Exempt, Salaried ($45,000 - $55,000)
Position Summary
The Executive Assistant is the main support to the Chief Executive Officer and Chief People Officer, enhancing the executives’ effectiveness by providing administrative assistance and representing the department to others both within and outside of the organization.
Duties & Responsibilities
- Manage and coordinate CEO’s and CPO’s calendars, travel, and meeting agendas when needed
- Plan and support event coordination as needed
- Assist and support in activities related to the Teacher Resource Portal (TRP)
- Produce minutes and memoranda to document the activities of the CAO and CPO team meetings
- Draft, edit, format, and disseminate documents for the CEO and CPO; this includes the preparation of professional correspondences, presentations, and other documents
- Archive, manage and coordinate the records (e.g., minutes, budgets, memorandum) of the CEO and CPO
- Coordinate the activities, status reports, and follow up for the CEO and CPO team, as requested
- Prepare and reconcile executives’ expense reports and submissions
- Other duties and responsibilities as assigned.

- Bachelor’s degree preferred
- Prior education or non-profit related experience preferred
- Strong work ethic and high level of professionalism, including strict levels of confidentiality
- Ability to thrive in an entrepreneurial culture
- Committed to providing excellent customer service always and under all circumstances
- Exceptional communications skills and the ability to build strong relationships among various stakeholders
- Ability and willingness to take initiative and work with other departments to get things done
- Detail-oriented with strong organization and time management skills
- Ability to work with minimal daily supervision and manage priorities
- Proficiency with computer skills, especially relevant Microsoft Suite Applications

Additional Requirements
Type of fingerprint clearance: Must possess or obtain valid Arizona Department of Public Safety IVP fingerprint clearance card.
Physical functions: Requires but is not limited to standing, sitting, repetitious hand and body movements, bending, squatting, and reaching. May be required to move or position equipment up to 15 pounds approximately.
Travel required: May need to travel locally to the various academies within the Phoenix metro area.
