Position Announcement

BrightFocus Foundation seeks a seasoned Executive Assistant to support the Senior Vice President (SVP) of a dynamic, collegial team at a leading nonprofit focused on finding cures for diseases of aging. This position may work remote or onsite in Clarksburg, MD.

 

Position Summary

The Executive Assistant to the SVP, Strategic Partnerships (SP) will provide high quality, executive-level support for a range of administrative duties, including but not limited to calendar management for SVP and team meetings, travel coordination, internal/external communications, and note-taking during meetings.  The Executive Assistant will use independent judgement to plan, prioritize, and organize work within defined parameters and must have excellent interpersonal skills, be reliable, well organized, and capable of interacting with utmost professionalism with internal and external constituents at all levels in a fast-paced environment.

 

DUTIES, RESPONSIBILITIES AND FUNCTIONS:

  • Manage the SVP’s calendar, scheduling internal and external meetings for SVP and SP team members as needed
  • Coordinate travel arrangements (transportation and hotel), prepare travel itineraries, enter travel info into calendars including Foundation’s Master Calendar.
  • Respond quickly, positively, and attentively all to email and telephone communications.
  • Assist with team’s database by entering, organizing, and tracking existing and new contacts.
  • Track travel expenses, maintain receipts, and reconcile monthly expense reports for SVP.
  • Assist with the preparation of written correspondence (i.e. proposals, presentations, etc.) as appropriate.
  • Perform additional duties as assigned by the SVP, including light budget management, sitting in on and taking notes at meeting as required.

 

EDUCATION & REQUIREMENTS:

  • Bachelor’s degree from an accredited college
  • Minimum 5-10 years prior experience as a high-level executive assistant or support at the executive level.
  • Excellent communication skills, both verbal and written, with exceptional phone and email etiquette.
  • Positive, flexible, mature person with a can-do attitude and good sense of humor.
  • Strong attention to detail, accuracy, and thoroughness.
  • Strong organizational, time management and prioritization skills.
  • Computer and database proficiency: Microsoft Suite (Word, Outlook, Excel, and PowerPoint)
  • Comfortable with executive-level interactions and working at a fast pace.
  • Significant calendar management, meeting scheduling, and travel coordination skills.
  • Ability to complete remote work efficiently and effectively, with daytime flexibility.
  • Familiarity with nonprofit environment and governance preferred.
  • Experience or interest in healthcare, medical research, or aging preferred.
  • Ability to work from home with high-speed internet and a designated distraction-free workspace.
