The Executive Administrator will be responsible for the effective, efficient and professional operation of the Office of Academic Affairs. A top priority will be automating processes to optimize efficiency and communications. This position will assist and report to the Vice President of Academic Affairs and Academic Dean and will interact frequently with full-time and adjunct faculty, staff and students. This position will manage the budget and curriculum of the Seminary’s First Professional Program (FPP).
Key responsibilities of this role include:
Provide direct administrative support to the Vice President of Academic Affairs and Academic Dean, including screening communication, reporting, event planning, expense reporting, preparing and scheduling activities such as travel arrangements, internal and external business meetings, client or third-party appointments, conferences, scheduling and participating in meetings, and overseeing daily operations of the Academic Affairs office.
Scheduling classes, working with the Registrar, and publishing the FPP course catalogue, maintaining confidentiality of all academic, faculty and student records, and preparing offer letters for faculty members. This role is also critical to the institution's accreditation and will manage the annual process.
We are seeking an individual with:
Seven or more years of relevant work experience, preferably in the not-for-profit or higher education sector.
Qualified candidates will be highly organized, and required minimal direction in the fulfillment of the position responsibilities.
BA degree required, with additional graduate work a plus.
Computer literacy, knowledge of Google Drive, GMail, Microsoft Office suite.
Knowledge of event planning and project management techniques.
Database and Records maintenance skills.
Commitment to discretion and confidentiality.
Excellent written, verbal and email communications skills.
This role will initially allow for a work-from-home arrangement due to the COVID-19 pandemic. We anticipate returning to the office once we have implemented the required safety protocols.
