POSITION SUMMARY

The Director, Individual Giving works closely with the development team. This position requires flexibility in that it requires a variety of abilities and skills including: high level solicitations, managing teams of members and volunteers, developing individual giving campaigns and strategic planning. This position is responsible for the direct marketing efforts within Individual Giving such as, data base entry, gift acknowledgement and all other activities that support the direct marketing operation. Additionally, this position is responsible for partnering with the foundation Grant Writer to maintain foundation records and produce materials that support the smooth running of that operation. A person in this position will have close contact with donors, volunteers and other constituencies. The position requires significant organizational, management and administrative skills and the capacity to carry out many different tasks with different levels of responsibility.

ESSENTIAL DUTIES AND RESPONSIBILITIES

General Responsibilities for Individual Giving

  • Develop a working knowledge of our current donor base and develop strategies to support and cultivate relationships with past and current supporters.
  • Research and evaluate potential individual giving opportunities and develop a marketing plan for each segment of the donor base.
  • Cultivate new donors through one-on-one meetings, public presentations, letters and written proposals, and other mediums as appropriate.
  • Lead the phone team and train and support members and staff to participate in the phone-a-thon and in donor cultivation more broadly.
  • Help to develop and implement an annual fundraising plan for individual giving.

Specific data base, foundation, correspondence, general communication and other department responsibilities

Acknowledgement Letters

  • Gift Processing and Acknowledgements
  • General, General Renewal, General Specials.
  • Welcome and Lapsed.
  • Honor and Memorial.
  • Specials (over $250) [Includes stock receipts, institutional grants]
  • In-Kind acknowledgements [Includes clothes, equipment, services, etc.]
  • Giving Societies [Includes President’s Committee, West 47th Street and Heritage Societies].
  • File all acknowledgement letters, gift backup.
  • Sign, mail, and file Matching Gift forms and grant receipts.
  • Notify Board members of gifts made by their contacts via email.
  • Notify Executive Director and Board Chairman of Board members’ gifts.
  • Gift batching and reports in Raiser’s Edge
  • NCOA update.
  • Duplicate cleanup.
  • Import batches from caging company.
  • Download and batch web gifts.
  • Process and batch credit card gifts.
  • Run reports.
  • Run data/statistical reports as needed.
  • Assist with periodic newsletters, emails, and other direct mail communications. Manage relationship with direct mail vendor and process.

Foundation Responsibilities

  • Maintain foundation calendar/action report in Raiser’s Edge.
  • Weekly call with grant writer and DOD to set priorities.
  • Work in collaboration with director of development and grant writer on preparing grants, summarizing RFP requests and application instructions.
  • Prospect research: corporations, foundations and government funding opportunities.
  • Produce and maintain materials needed for foundation proposals.
  • Update information with Foundation Center.

Donor Correspondences

  • Serve as primary external donor relation contact via phone and email.
  • Responsible for special mailings to major donors including:
  • End of year report.
  • Annual report.
  • Answer and follow-up donor comment mail
  • General information requests.
  • Member application requests.
  • Fountain Gallery orders (note cards and calendars).
  • “Unable to process” donations.
  • Coordinate press, public relations, and public education activities
  • Produce annual report
  • Maintain all press, photo, release files and databases, including media contacts
  • FH Mentions

  • FH & FG Articles
  • Formal FH Articles – ASI to “The Watsons” – Eric Sutcliffe & Rob Steinberg
  • PDF version of Mental Health Articles are to be converted to PDF’s by Watsons

  • Set up tours in conjunction with the Welcome Center.
  • Instruct tour guides regarding particular donors.
  • Manage staff phone outreach operation
  • Member phone-a-thon acknowledges all donor giving $1 - $249.99.
  • Write call scripts.
  • Create call lists for different campaigns.
  • Fulfill weekly follow-up mailings.
  • Follow-up mailing data entered by clerical unit (data imported by development).
  • Weekly recruitment and ongoing training of volunteers.
  • Track campaigns on weekly basis.
  • Report on operation statistics.
  • Stock and maintain phone outreach space.
  • Provide support for all development staff to make calls to high dollar donors.
  • Organize supporters and donors to attend fundraising and cultivation events.
  • Recruit and supervise members and other volunteers (college, high school, corporate and others).
  • Work with other units to more fully integrate development activities in the work ordered day.
  • Represent development department at community/clubhouse meetings; report on meetings to the development team.
  • Write weekly updates on phone-a-thon and other department activities for e-mails to volunteers and FH weekly newspaper.

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES

  • Excellent oral and written communication skills.
  • Computer skills: MS Word, Excel (able to create spreadsheets), Raisers Edge is a strong plus and/or advance experience creating, maintaining and generating reports from databases.
  • Detail-oriented, extremely organized, and a self-starter.
  • Professional demeanor and impeccable ability to work under pressure.
  • Strong interpersonal and professional etiquette to work with and interact with high profile board members, executives and people from all walks of life.

REQUIRED AND PREFERRED EDUCATION, EXPERIENCE, AND CREDENTIALS

  • Undergraduate degree required.
  • Graduate degree in related field preferred. (Public policy, Public Administration, Communications, etc)
  • Minimum of five (5) years fund-raising experience with a proven track record of securing gifts from individuals.
  • Minimum of five (5) years of supervisory experience required.
