WHO WE'RE LOOKING FOR

The Latin GRAMMY Cultural Foundation (LGCF) is looking for a Development Specialist.

  • Fluent and proficient in Spanish and English. Portuguese is a plus.
  • Organizational skills (ability to act independently, clearly understand and explain ideas, excellent follow-up, and the ability to meet deadlines).
  • Punctual.
  • Fundraising and Development experience. We’re looking for someone who can effectively interact with peers, our other entities, potential donors, benefactors, leaders, executives, and intermediaries that help the LGCF reach specific goals.
  • Charismatic, Customer Service oriented, extroverted, able to entertain when necessary and good at establishing rapport, thorough, but swift and smooth follow-up with potential key assets, as defined by your supervisor.
  • Ability to understand a fundraising project, and clearly design a plan to accomplish goals. Ability to present the plan to Executives and follow-up (and report progress) regularly.
  • Prior sales experience
  • Elegant, well-presented, and with a strong personality to represent the LGCF in front of key individuals (assets) with the power to make a sales pitch and establish an amicable, and not overwhelming relationship.
  • Entrepreneurial attitude with the ability to adapt to a corporate structure.
  • Positive attitude and ability to be part of a Teamwork Philosophy.
  • Top notch skills in the digital world, including the use of social networks and the expert use of the most recent software to continuously learn from other non-profit entities that are successful in fundraising.
  • Ability to travel

  • Love and passion for music, understanding for all the new genres, talent, and movements.
  • Ability to attend events if required

WHAT YOU'LL DO

DONOR RELATIONS

  • Support VP to build a trustable relationship with key benefactors and donors.
  • Act as contact/liaison for key donors, prospects, and VIPs to ensure prospect strategies are advanced, provide expedient assistance to requests, and that appropriate follow-up with donors is successfully completed.
  • Interact with individual donors through phone, written correspondence, video, and in-person meetings and assure that donor communications and inquiries are handled timely and professionally.
  • Ensure that donor acknowledgments are sent within 48 hours upon receipt of donations and work with finance team to ensure proper reconciliation.
  • Ensure that past donors are regularly communicated with and re-solicited on a timely basis.
  • Inform VP of Development of important information regarding supporters, i.e., birthdays, anniversaries, and special accomplishments, in connection with cultivations and solicitations
  • Assist VP with communication, follow-up, and meetings with Development/Fundraising Committee.
  • Create, implement, and maintain detailed project management flow charts, and custom recap reports for each partnership.

PROSPECT RESEARCH & SUPPORT

  • Conduct individual, foundation, government, and corporate giving/sponsorship research to identify new funding opportunities.
  • Track major gift prospects through the cultivation, solicitation, and stewardship cycle by reviewing timely and appropriate moves on donor/prospects and inputting them into database. Determine and update information regarding cultivation and solicitation status, ratings, and strategies. Ensure proper donor, prospect follow-up, and next steps are set.
  • Prepare background information/briefing material on prospective donors/ sponsors/ foundations/ grant opportunities that could support LGCF for VP of Development and Executive Director.
  • Maintain and manage the organization’s donor database including all data entry that is up to date and correct.
  • Work closely with VP to identify appropriate fundraising goals, metrics, and outcomes
  • Assist with preparing or creating presentations and pitches for prospective and renewal donors including proposal development and ideation.
  • Research new ideas for development/fundraising opportunities for the LGCF
  • Track submitted development proposals and update weekly prospect chart along with preparing financial overviews of annual gross/net revenue reports for senior management.
  • Create monthly and yearly reports of all income received via donations, sponsorships, project income, special events, etc. Also, follow up on pending donations and provide invoices to donors if requested.
  • Support VP with reviewing the total fundraising amount at the end of the year and presenting to LGCF team

EVENT SUPPORT

  • Assist in planning, coordination, and execution of fundraising and stewardship events including managing event websites and registration, sponsorship solicitation and follow-up, acquisition of raffle and auction items, securing in-kind support, creation of event collateral, vendor relations, sending invitations, tracking and reporting on RSVP’s, event checklist, budgets, timelines, volunteer management, post-event assessments, and more as needed.
  • Support the VP of Development and Executive Director at events by being available with agenda, prospect/VIP identification, and assistance with any requests or issues at the event.
  • Keep track and update the LGCF team on ticket sales/donations for Fundraising Events. Create and update Profit and Loss Statements for Private Fundraising Events as well.
  • Work directly with Business Affairs to receive song approvals for music clearances associated with Fundraising Events
  • Communicate with finance to process invoices for vendors at Private Fundraising Events and any pending donations/payments for Private Fundraising Events.
  • Support with the production/rundown/load in schedule/ communications of Private Fundraising Events
  • Request graphic design for invitations to Private Fundraising Events from Creative Services. Create and update informational page for Private Fundraising Events.

COMMUNICATIONS & MARKETING

  • Prepare written proposals and gift agreements for solicitations
  • Research, prepare, and send donor stewardship information.
  • Write timely and appropriate acknowledgment letters.
  • Manage the thank you letter stewardship process.
  • Collaborate with the VP of Development and Communications team in the creation of monthly, quarterly, and yearly communication calendars to raise awareness of our work and fundraising campaigns.
  • Support VP with strategic planning of ambassador fundraising/awareness campaigns
  • Send email communications to the LGCF donor base, University contacts, and students about philanthropic activities, education programs, and fundraising opportunities

ADMINISTRATIVE

  • Maintain and reconcile department and VP of Development and fundraising staff credit card transactions, and create, send, and follow-up on department invoices.
  • Deposit checks ensuring internal controls and procedures are followed. Process non-cash donations according to policies and procedures
  • Maintain appointment calendar, and travel arrangements for the VP of Development and fundraising staff
  • For mass donor communications and direct mail, ensure information is extracted properly from MailChimp, information reviewed and edited, and letters merged and sent.
  • Utilize Excel and CRM to update donor information
  • Assist in notetaking and creating reports for the development team.
  • Provide scheduling and administrative support for the department, including working with the development team to prepare reports for board members, and others for funder meetings, site visits, and other cultivation
  • Provide support, as required, to the V.P. of Strategic Planning & Corporate Development
  • Provide support, as required, to the Executive Director as it relates to the development function
  • Assist VP with communication, follow-up, and meetings with donors and supporters of the Foundation
  • Assist with the preparation of materials to present to potential funders, i.e. proposal development, ideas
  • Help update the LGCF budget and keep track of fundraising goals and expenses for the year
  • Create monthly and yearly reports of all income received via donations, sponsorships, project income, special events, etc
  • Communicate with finance to process invoices for vendors of Fundraising and Stewardship Events and keep track of any pending donations/payments.
  • Plan, coordinate internal meetings, by establishing meeting objectives, developing agendas, communicating with presenters and attendees, and preparing handouts and presentation material.
  • Establish and maintain relationships with vendors via email, phone, and in person.
  • Keep track of fundraising goals and expenses for the year

SKILLS & EXPERIENCE

  • 2-3 years of Fundraising & Development Experience
  • Bachelor’s Degree required
  • Non-profit organization experience is a plus
  • Positive and team-oriented attitude is a must.
  • Must be able to handle multiple projects simultaneously and work in a dynamic environment.
  • Experience in working with administrative projects that require specific deliverables.
  • Skills in content development to develop state-of-the-art proposals and presentations
  • International Travel experience is a plus, better if focused in Latin America, Spain, and Portugal.
  • Strong ability to organize and prioritize tasks, superior attention to detail, and follow-through.
  • Proficiency in the most updated software, social networks, and IT trends.
  • Research skills to source information or way to deliver, and share information.
  • Ability to work effectively and efficiently under absolute pressure.
  • Solid grammar in Spanish, and English and powerful oral communication skills.
  • Ability to solve practical problems and deal with a variety of different daily variables.
  • Proven record of honesty, trust, and confidentiality.
