Job Description

POSITION SUMMARY
The Development Coordinator is an integral member of the Development Department and plays a key role in providing administrative and logistical support to advance fundraising and the mission of the Alliance for Children’s Rights. The position organizes and implements fundraising support activities, including the consistent tracking, utilization, and review of donor prospecting; gift processing; and reporting in the Development database. The Development Coordinator also provides assistance with fundraising and cultivation events, and with the execution of the Department’s donor communication plans. The position reports to and directly supports the Chief Development Officer while also providing team-wide support of substantial fundraising initiatives.

The Development Coordinator must be detail-oriented, possess strong organizational and communication skills, and be able to manage multiple projects simultaneously. They should be a positive and supportive team player and collaborator. The position requires a high level of computer competence and the ability to work with the donor database (Raiser’s Edge) effectively.

The Alliance for Children's Rights protects the rights of children in poverty, and those overcoming abuse and neglect by delivering free legal services, supportive program and systemic solutions. Our lawyers, advocates, and social workers, together with hundreds of pro bono attorneys and community volunteers, ensure that children and youth who are in the child welfare system to have safe, stable homes and can access the education, healthcare, and financial supports that they need. Since 1992, we have served over 150,000 children and young adults in Los Angeles County.

RESPONSIBILITIES
Responsibilities include, but are not limited to the following:

Assist the Chief Development Officer (CDO) with general office support
• Schedule and coordinate meetings and organize/prepare plans and materials (briefings, presentations, and Alliance materials, refreshments, set-up, breakdown, directions)
• Draft correspondence with prospects, donors, and volunteers
• Prepare calls sheets and contact reports, and ensure information is consistently and accurately captured in prospect/donor records (hard files and database)
• Prepare expense reports, requests for expenditure and other payment forms
• Assist with budgets and projections
• Manage and meet deadlines
• Coordinate team meetings
• Order office supplies as needed

Events
• Assist the Major Gifts and Events Manager with fundraising and cultivation events, including event logistics, vendor coordination, invitation and rsvp lists, revenue reports, expense budgets, volunteer coordination, and in-kind donations
• Staff off-site events as necessary

Communications
• Assist with drafting and sending donor communications, including sponsor letters, digital and mailed appeals, invitations, evites, acknowledgments, proposals, invoices, and reports
• Proof collateral materials, sponsorship lists, and honor rolls
• Work with Director of Communications on email campaigns by pulling lists, utilizing Mail Chimp, and keeping donor records current and accurate

Prospect management, gift processing, and donor record maintenance
• Coordinate gift processing, solicitation, and stewardship activities
• Process donations in a timely manner and ensure that donations are properly coded and disbursed
• Draft, generate, and send donation thank you letters in a timely manner
• Maintain daily, weekly, and monthly gift reports and other internal accounting reports
• Monitor pledge schedules
• Create and maintain reports to track fundraising progress as needed by CDO and department
• Field requests for information and respond as appropriate to donors’ and Alliance staff’s requests for information
• Ably handle donor and vendor inquiries and questions directly; professional phone and email communications
• Maintain accurate donor data files and financial information
• Work with Database Coordinator on queries and lists, plus production of reports
• Conduct basic donor prospect research to update addresses, employment, etc. as needed
• Conduct prospect research to identify, qualify and discover linkages and philanthropic capacity/inclination
• Help develop and maintain pipeline ratings and projections

Requirements

QUALIFICATIONS
• Committed and enthusiastic about the organization’s mission and programs
• At least three years of related experience
• Working knowledge of administrative and office procedures
• Higher education degree preferred
• Strong interpersonal verbal and written communication skills
• Proficient knowledge of office applications including Word, Excel, PowerPoint, and expertise in use of the Internet, email, a donor database software, and email marketing platform. Experience with Raiser’s Edge and Mail Chimp, specifically, is a plus
• Ability to work independently and under pressure, take responsibility, prioritize work, complete tasks on time, perform repetitive and multiple tasks with accuracy simultaneously while adhering to deadlines
• Highly detail-oriented with a critical degree of accuracy regarding data entry and analysis, including financial and statistical record-keeping skills
• Ability to understand and follow directions and complex policies and procedures
• Resourceful and flexible
• Ability to author and accurately proofread documents and correspondence
• Ability to maintain confidentiality
