Description

Reporting to the Chief Financial Officer (CFO), the Controller will lead all accounting operations of a budget of $15 million.  The Controller manages a team of two, and is responsible for overseeing all accounting-related activities including financial record-keeping, accounts payable, accounts receivable, monthly and annual closes, and preparation of financial statements. The Controller will manage the organization’s annual audit and any statutory or donor-related audits.  They will ensure accuracy of financial records, oversee cash flow projections, and support financial systems maintenance. They will lead or participate in finance and organization-wide process improvement projects.

Essential job functions:

  • Lead and manage the accounting function for AVAC.
  • Assure review and accurate entry, and posting of financial transactions in the financial system.
  • Assure accurate and timely preparation and issuance of payments including checks, wire transfers, petty cash, and ACH payments.
  • Manage the month-end closing process including completion of recurring journal entries and monthly balance sheet account reconciliations.
  • Prepare monthly financial statements and supporting schedules and monthly cash flow projections.
  • Oversee the annual financial audit and preparation of related statements and supporting schedules.
  • Oversee the annual 401(k) plan audit.
  • Oversee the preparation of Forms 990, 990T, CHAR500, 5500 and other filings as required.
  • Maintain financial policies manual detailing finance and accounting policies and procedures.
  • Ensure preparation and posting of all journal entries.
  • Monitor bank balances and initiate funds transfers.
  • Together with HR, oversee payroll and payments of associated taxes and fringe benefits.
  • Ensure accurate and timely funds drawdowns from donors and reconciliation of drawdowns to actuals.
  • Ensure filing of 1099s annually and ensure all necessary vendor W-9 forms are on file
  • Monitor and ensure proper internal controls are in place and applied.
  • Ensure training of staff in financial policies, procedures, processes, and best practices including training on financial-related systems (invoice coding, expense reporting, time-tracking, etc.).
  • Support maintenance of financial system including updates of dimensions, general ledger codes, and creation or updates to standard reports.
  • Proactively respond to inquiries from vendors and staff.
  • Monitor and assure financial document retention according to AVAC policies.
  • Lead or support process improvement activities and policy reviews and revisions.
  • Participate in and support key business initiatives and ad-hoc projects as needed.
  • Maintain confidentiality in reviewing and evaluating confidential financial plans and decisions, salary information, and other confidential information.
  • Collaborate with, provide guidance to, and support professional development of direct reports.
  • Perform other related duties as required by the organization and management.

Position qualifications

While no one candidate will possess all the qualifications listed below, the ideal candidate will embody many of the following professional and personal abilities, attributes, and experiences:

  • Minimum 5-7 years of experience as a senior accounting professional, with extensive experience in managing full cycle accounting.
  • Strong understanding of accounting theory and practice in a non-profit environment; CPA preferred.
  • Experience with compliance management for US government and foundation grants.
  • Ability to work independently with minimal daily direction to oversee the accounting function at AVAC.
  • Flexibility to adjust to changing demands and priorities.
  • Ability to organize and prioritize work to meet deadlines.
  • Ability to properly handle confidential and sensitive information.
  • Excellent written, verbal communication and interpersonal skills.
  • Demonstrate an innovative and collaborative mindset when problem-solving.
  • Ability to work cooperatively and collaboratively with all levels of employees, teams, management and external partners.
  • Recognized skills at providing mentorship and development to team members.
  • Advanced Microsoft Excel skills and proficiency with Microsoft Word and PowerPoint.
  • Demonstrated experience with financial system reporting tools and creating or modifying financial reports using reporting tools.
  • Working understanding of MIP, Intacct, and Concur a plus.
