Description

Reporting to the Senior Manager of Advancement, the Advancement Database Administrator (DBA) is responsible for ensuring the accuracy and integrity of constituent data within and related to the Foundation's CRM (database) Raiser's Edge NXT Pro also known as RE NXT. This role is responsible for data management, report development, technology management, and end-user support.

The DBA is responsible for assigning, technical support, and administration of user accounts; performing and managing data entry; and ensuring the database and integrations effectively capture constituent information and generate accurate financial and analytical reports. This role will serve as a liaison, communicating across sub-divisions and cross-departmentally on a regular basis to convey information, ensure compliance, and obtain user feedback.

Responsible for the maintenance and administration of the FIT Foundation's CRM RE NXT Pro to ensure efficient internal systems, accurate database entry and reports, and works in tandem with the Advancement Services team to ensure timely financial reports for the Office of the Vice President for Advancement. Creates and generates reports and ad-hoc queries to meet the information needs of the department. Ensures quality control of biographical, demographic and gift information and the management of that information and trains end-users in the use of the database.
Responsibilities of the position include, but are not limited to:
Database Management and Application

  • Administer accounts, system roles, and security settings; coordinates CRM training(s) and provides internal training support
  • Serve as the Foundation's point person for software and data related needs as well as, departments and divisions across campus requesting data, updates, or database related services
  • Working with IT and other stakeholders, integrate custom reporting and business intelligence tools, including CRM reporting, Banner Server Reporting Services, and Viking into the new CRM
  • Integrate CRM with third-party applications, ensure integrity of data integrations, and monitor and act on changes/upgrades to third party applications which may impact RE NXT and take the appropriate action
  • Gather, identify, analyze, prioritize and maintain RE NXT software requirements. Work with vendor to ensure requirements are communicated to internal partners
  • Work with the Director of Alumni Relations and the Office of the Registrar to create a process for quarterly "rollover" of confirmed alumni to be added to or updated in RE NXT
  • Conduct regular data integrity checks and perform necessary clean up to ensure overall data hygiene
  • Export and share relevant data analytics on an ongoing basis. Inform stakeholders of changes and updates to RE NXT's analytics tools and train users as needed. Assist in solving business problems, acting as the focal point in such matters
  • Enhance business processes, recommend technologies or technical solutions, and improve the end user experience
  • Initiate and manage projects to improve utilization of the database, from RE NXT updates to mass modifications
  • Work with software vendors to make improvements and fix bugs in service to all departments (Liaison with all FIT related departments regarding the CRM and resolve any issues which may be encountered with RE NXT
  • Work with Foundation leadership on assigning roles and access for all Raiser's Edge users. Create a process for vetting requests and assigning access. Ensure all FIT Security measures are maintained including account access/deletion
  • Assist with the development of relevant policies and procedures for front-end and back-end users of Raiser's Edge; communicate policies and procedures to pertinent staff; create a feedback system related to RE NXT
  • Remain informed of donor database best practices and software advancements via webinars, conferences, and educational programs; inform and train staff as needed
  • Assist with regular maintenance and reconciliation of CRM database
  • Maintain technical documentation and develop user training and support materials
  • Assist with IT Projects as related to RE NXT
  • Deliver professional, courteous customer service with phone, email, or in person inquiries

Data Input and Reporting

  • Create and manage all constituent records in RE NXT
  • Create and generate financial, prospect and fundraising reports as well as ad-hoc queries to meet the information needs of the Foundation
  • Prepares the Annual Report donor recognition list on behalf of the Development department
  • Utilizing CRM data, conduct preliminary prospect research for Foundation's corporate, foundation and individual donors
  • Ensure accurate and updated donor records through ongoing data clean-up projects, appends, and wealth screenings
  • Ensure quality control of biographical, demographic, and gift information in constituent records
  • Manage the input/import of results from alumni data acquisition efforts
  • Prepares mailing lists for Advancement communications efforts
  • Execute batch uploads, exports, and updates of data utilizing the Omatic and RE NXT's software
  • Create data maps and dictionaries where needed for importing and exporting of data. Create and sustain best practices related to the data in conjunction with other SUNY schools who also utilize RE NXT
  • Coordinate with Advancement, Finance, and Registrar to import large quantities of complex data into RE NXT and/or other solutions as deemed necessary; manage/facilitate database syncing between systems/API's as it pertains to RE NXT

Requirements

The successful candidate:

  • Must be driven and self-motivated, able to initiate and complete assigned projects and tasks independently
  • Strong technical skills and deep knowledge of data analytics and relational databases
  • Must work collaboratively with teams from various departments
  • Maintains strong communication skills and can translate technical information to non-technical audiences and communicate with RE NXT users to understand their needs
  • Able to troubleshoot RE NXT issues in person, by phone or email
  • Maintains excellent time management skills and is successful with competing requests and priorities
  • Possesses excellent team-working and interpersonal skills; is comfortable working with external stakeholders at all levels
  • Must be reliable, responsible and able to act with sensitivity and discretion while working with confidential information

Required Education and Experience:

  • A bachelor's degree in Business, Information Technology, Information Records Management or similar field
  • 2-3 years of working experience with a complex database system and or administering a comprehensive Advancement CRM
  • Knowledge of and experience with Raiser's Edge preferred.
  • A minimum of a year's experience in an Advancement Office setting, nonprofit administration or comparable field
  • Experience with writing and producing custom reports for a range of higher education audiences
  • Demonstrated experience in organizing, maintaining, managing, troubleshooting, or interacting with computer software systems

  • Raiser's Edge NXT Pro
  • Knowledge of Advancement CRM software systems
