Position overview:

The Dravet Syndrome Foundation (DSF) is dedicated to accelerating research of Dravet syndrome while also advocating for and supporting those living with this rare and lifelong developmental and epileptic encephalopathy. This remote, full-time position presents a meaningful opportunity to play a role in improving the lives of patients and families living with this devastating disease.

We are looking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. The ideal candidate will thrive in an entrepreneurial, team-oriented remote work environment, with previous nonprofit experience.

Remote, full-time schedule with some flexibility. Evenings and weekends may be required at the time of major events and meetings. Required travel of a minimum of twice annually, up to 6 times per year. Some meetings we attend may require proof of COVID vaccination. The candidate should be U.S.-based. 

Roles & responsibilities:

  • Support ED and DSF staff through administrative work 
  • Attend bi-monthly staff meetings
  • Respond to voicemails and monitor general inbox
  • Media management
  • Database maintenance
  • Correspondence management, including special mailings
  • Event prep and/or onsite assistance at some fundraising events
  • Manage applications for patient assistance grant programs
  • Oversee volunteer management & appreciation
  • Assist ED with biennial conference planning and other meeting planning, as assigned
  • Other duties, as assigne

Qualifications:

  • 2-3 years of administrative experience strongly preferred, preferably in development or at a nonprofit organization.
  • Strong organizational skills and attention to detail are required. The successful candidate will have demonstrated the ability to manage a diverse and adapting workload with limited supervision, set priorities, and follow projects through to completion. 
  • Stellar communication skills are required, including verbal communication in-person and by telephone and written communication. The successful candidate must communicate clearly with people having a variety of experiences, including: medical professionals, individuals from diverse cultural backgrounds, and those with disabilities or their caregivers
  • The ability to work well with others as part of a team is required, particularly a team in which accountability and responsibilities are shared. The successful candidate will seek to grow and learn continuously and to share his/her own knowledge and experience with others. 
  • Comfort with technology is required, including setting up and utilizing web meetings, teleconferences, online secure sharing of documents, and scheduling meetings across multiple time zones. Proficiency with Microsoft Word, PowerPoint, Excel, and Google Suite is expected. Experience with Elemenator, Givergy, Salsa CRM, Canva, and video and photo editing software is a plus.
  • Bilingual is a plus; at a minimum, the ability to understand and to make one's self understood to all Spanish speaking individuals.
