We are currently seeking an experienced Administrative Assistant to support the Director of Collections (Librarian) and ensures a high level of internal customer support across department teams. This is a fantastic job opportunity for someone who is interested in arts management, cultural institutions, and working in exhibition programs.

Duties:  

The Administrative Assistant will provide administrative support to the Director of Collections (Librarian) and will coordinate or assist in prioritizing emails, drafting responses, or responding on behalf of the Librarian. This person will be responsible for maintaining appointments, adhere to deadlines for the Collections, and assist with travel arrangements as needed. This person will also be responsible for performing long range administrative goals, special projects, and building relationships with external vendors, processing invoice, and producing monthly expense reports.

Job Requirements: 

  • A. preferred.
  • Requires at least three years of administrative experience in an executive office.
  • Should have experience supporting scheduling, preparation and dissemination of internal and external communications and presentations.
  • Experience in a non-profit, cultural heritage, museum collection, library services or academic institution is highly desirable.

Pandemic response: This position will begin largely remote, transition to a hybrid work schedule, and then is expected to be largely on-site. The building is currently closed to the public due to construction projects.

All staff, contractors, and visitors working or visiting onsite are required to be fully vaccinated with the COVID-19 vaccine and furnish proof of vaccination (unless they have received a medical or religious exemption). Masks are required in all shared or public spaces onsite until further notice.
